Court Appointed Special Advocates of Monmouth County seeks a highly motivated person to fill a full-time, in-person, CASA Case Coordinator position in Oakhurst, NJ.
General Description: The Case Coordinator is ultimately responsible for managing and supervising CASA volunteers, facilitating training, and assisting the Executive Director with program operations. The primary responsibilities of the Case Coordinator are, but not limited to: (a) Case Management, (b) Volunteer Supervision, (c) Volunteer Training, and (d) Program Activities. The Case Coordinator will develop and maintain professional relationships with all interested parties including the judge, the court staff, the lawyers and the state and community agencies. The Case Coordinator will be flexible and willing to assist in various program areas when needed. This position requires the use of a personal automobile as well as working nights and weekends on occasion. This is a full-time (40 hours/week) in-person position. The Case Coordinator will be responsible to the Director of Program Services of CASA of Monmouth County.
Responsibilities:
- A. Case Management: 1. Attend court hearings when appropriate 2. Track court dates and results as well as provide notification of all meetings and court hearings to volunteer advocates in a timely manner 3. Review, edit, and submit court reports in a timely manner, consistent with court and program requirements 4. Write and submit court reports if a volunteer fails to do so in a timely manner 5. Respond to orders when assigned by Judge or any interested party 6. Enter and review new cases and match cases with appropriate advocate in consultation with the Director of Program Services 7. Develop initial case plans and on-going strategies for advocacy in social services 8. Keep necessary case records as described by our case management procedures both on paper and in our program database 9. Casework responsibilities include family and child contacts, professional contacts, support services activity, linkage to community resources, court report monitoring, court observation, maintenance of case records, and maintenance of advocate volunteer files 10. Establishes and maintains collegial and congenial relationships with staff, board, and volunteers, as well as with representatives from DCPP, the Judiciary, education and social service providers, and other external stakeholders.
- B. Volunteer Supervision: 1. Support and coach 30+ volunteer advocates by providing resources, assistance, and consultation to ensure that children involved with the CASA program receive sound advocacy and early permanency planning 2. Maintain regular contact with advocates via email, phone, and text, providing coaching and guidance tailored to individual case and volunteer needs. Available as needed “on-call” to address emergency and crisis situations. As well as maintain regular contact with each Peer Coach 3. Keep necessary and appropriate volunteer case records in accordance with our record management procedures 4. Accompany volunteers to court and meetings when appropriate 5. Conduct performance assessments of volunteers and regularly monitor and evaluate advocate performance 6. Conduct field visits with volunteers as requested 7. Exercise discretion and independent judgment to assist advocates in creative problem solving, utilizing agency and community resources, and ensuring accuracy and consistency with dependency permanency planning law and best practices. Act as sounding board for volunteers when they have questions, frustrations, issues or other concerns related to their cases 8. Performs advocates’ duties temporarily when volunteer advocate is unable to do so 9. Maintain organized, accurate, and up-to-date physical and electronic case files and records including but not limited to progress notes, reports, motions, and correspondence, in compliance with agency protocols and ensuring data integrity for reporting needs 10. Maintain knowledge of child placement options, levels of care, DCPP policies and procedures, New Jersey Courts’ Monmouth County Children in Court (CIC), Division policies and procedures, and National and New Jersey CASA Standards
- C. Volunteer Training: 1. Assist with volunteer inquiries, recruiting, screening, and interviewing 2. Public Speaking-Conduct daytime and/or evening information sessions for potential volunteers 3. Assist with development and compilation of training materials 4. Assist with training of volunteers and assess volunteers throughout training 5. Assist with securing guest speakers for Training 6. Attend in-service trainings and professional development workshops. These may be held in the evenings in which you are required to attend 7. Conduct Continuing Education Training for volunteers 8. Other tasks as needed
- D. Program Activities: 1. Attend all available conferences and workshops for the development of programs for volunteers 2. Assist in orientation and/or training of new staff, interns, volunteer office help 3. Attend all staff meetings 4. Assist with general office needs, activities, and events 5. Public Speaking-Facilitate presentations within the local community 6. Assist in volunteer appreciation events and all program activities 7. Offer constructive feedback to improvements and advancements for the CASA Organization 8. Other tasks as needed
Qualifications: A bachelor’s degree or equivalent work experience. Other Requirements: Must maintain driver’s license and auto insurance during employment. Successful completion of fingerprint clearance, National Sex Offenders Registry, NJ Child Abuse History clearance, and NJ State Police background check is a condition of employment. Must have an understanding of email, word processing, graphics, and spreadsheets. Must be able to use internet search engines, social media (i.e. Facebook & Instagram) and have knowledge of databases and how to use them. General technical savviness. Comfortable with learning and utilizing new software, apps, and data entry programs. Competence in Microsoft Office (Word, Excel, PowerPoint, Outlook,) Canva, and Constant Contact. Strong written and oral communication skills. Problem-solving and critical thinking, including the ability to calmly evaluate and make mindful, strategic decisions in emotionally charged situations. Ability to independently manage one's workload and schedule while working a flexible workweek as required, possibly assisting with evening and/or weekend trainings, community outreach events and/or fundraising initiatives
