POSITION OVERVIEW

DISTRICT OVERVIEW

Kiewit's Southwest District is looking for an Receptionist for our District Office. Kiewit Southwest District specializes in heavy civil, transportation and water projects, we typically self-perform a large portion of the work. We do self-performance work such as mass grading, drainage, PCCP paving, utilities and more. We are looking for people committed to the construction industry with safety, quality, costs and schedule in mind.

LOCATION

This position will be based at our project site in Black Canyon City, AZ.

RESPONSIBILITIES

Primary Responsibilities:

  • Greet clients and visitors at reception, announce and direct them.
  • Answer and properly route incoming phone calls (multiple lines, two companies)
  • Perform administrative duties.
  • Perform data entry and track I9 forms.
  • Assist in the review project detail reports as needed and make corrections as needed.
  • Maintain various group email rosters, office seating assignment drawings, and keep current phone listings
  • Submit service tickets for building and office machine repairs as needed.
  • Confirm repairs are complete and follow up when appropriate.
  • Assist with meeting coordination including meal catering and room set up.
  • Assist Payroll Group with check printing and distribution.
  • Assist in the month-end close and reporting process as needed.
  • Coordinate and arrange meetings including agenda preparation, meeting invitations, reserving and preparing facilities and resources, and arranging offsite meetings as requested.
  • Maintain contact list and calendars in Outlook. Arrange and coordinate travel schedules and reservations.
  • Maintain various logs, reports and templates.
  • Greet scheduled visitors and direct to appropriate area or person.
  • Assist managers with planning and scheduling of activities.

QUALIFICATIONS

  • Basic computer knowledge and data entry skills, Microsoft Office (Word and Excel) experience
  • High School Diploma/GED
  • Excellent communication skills (verbal and written)
  • Excellent organizational and time management skills
  • Must be able to multi-task and prioritize
  • Detail-oriented with strong analytical skills

  • Communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment.
  • Perform work safely and effectively. Understand and follow oral and written instructions, including warning signs, equipment use, and other policies.
  • Work during normal operating hours to organize and complete work within given deadlines. Work overtime and weekends as required.
