The Payroll Administrator performs all payroll processing functions and administrative duties to support the Finance and Human resources departments to ensure the best customer service to employees, leadership, and external clients, all while maintaining a high level of confidentiality

Key Responsibilities

Payroll

  • Enters and maintains information in the payroll system including hourly rates, salaries, bonuses, per diem or other compensation, time worked, paid leave and holidays, deductions and withholding, employee changes, and other information.
  • Ensures the timely and accurate processing and appropriate communication of all payroll transactions including salaries, benefits, garnishments, taxes, and other deductions
  • Prepares and maintains accurate records and reports of all payroll transactions and payroll related information
  • Maintains compliance with federal, state, and local payroll, wage and hour laws, and best practices
  • Ensures accurate processing of prevailing wage rates
  • Resolves payroll discrepancies and answers any employee payroll queries
  • Audits and processes fringe benefits, such as mileage
  • Manages pay cards for employees that cannot utilize direct deposit

Benefits Administration

  • Works with electronic vendor to ensure accuracy of employee benefits and COBRA
  • Prepares annual retirement census file
  • Reconciles invoices for payment
  • Processes Medical Support Court Orders
  • Administers 401(k) benefit plan including completing the weekly 401-k ACH deposit, distributions – (loans, hardships, rollovers) and RMDs

Other

  • Administers ongoing compliance of COBRA and FMLA
  • Coordinates Flu shots / Blood Drives
  • New hire reporting to the applicable States
  • Assists with employee events
  • Backup for other HR team members
  • AAP/EEO reporting
  • Processes Verification of Employment (VOE) requests
  • Assist other departments with reporting as needed

Required Education, Experience and KSA’s

  • High school diploma required Related Four-year degree preferred;
  • At least three years of related experience in Payroll
  • Intermediate knowledge of Microsoft Excel and Microsoft Word
  • Excellent organizational skills and attention to detail is required
  • Strong analytical and problem-solving skills
  • Maintains a strict level of confidentiality
  • Proficient with or the ability to quickly learn payroll software
  • Knowledge of payroll functions including preparation, balancing, internal control, and payroll taxes
  • Knowledge of generally accepted accounting principles (GAAP) and financial data analysis
  • Shows excellent time management skills with a proven ability to meet deadlines

Physical Requirements

  • Sitting or standing for long periods of time at a desk
  • Working in an office environment
  • Occasional need to travel to customers/job sites via automobile

  • Salaried position paid on weekly basis
