Position Summary

Salary: $32,966 to $48,728 based on ACCS Board of Trustees Salary Schedule E3 05 and experience.

Participate in a variety of multifaceted clerical and secretarial functions for the Associate Dean of Enrollment Services. Provide supportive assistance to Enrollment Services personnel and perform a variety of support functions related to Admissions, Records, and Advising. Answer telephones, maintain secure files, and use appropriate computer software to assist students and manage daily tasks. Supervise work-study students.

Essential Duties and Responsibilities

  • Compose correspondence and update/revise/develop various forms and materials.
  • Assist with daily operations of the Shelby Campus.
  • Provide secretarial/clerical support for Enrollment Services personnel.
  • Provide general academic advising and make available degree requirements for career and transfer degree programs.
  • Assist students with the registration process.
  • Interview, hire, supervise and instruct work-study students. Evaluate job performance, and if necessary, dismiss work-study students from assigned jobs.
  • Meet with potential students and families and provide information regarding admissions, financial aid, and availability of services at Jefferson State.
  • Serve as a liaison with students, the community, staff, and outside agencies to investigate and reconcile problems.
  • Generate official appeal letters to communicate results to students who submit an appeal to the College's Appeals Committee.
  • Assist with the secure handling and storing of office and student records, including scanning documents into the College's electronic filing database(s).
  • Process time sheets (for payroll), travel forms, check requests, requisitions, maintenance work order forms, and monthly leave reports. Follow up on status of such forms.
  • Maintain office supplies for Enrollment Services work spaces, to include creating requisitions as needed.
  • Organize general departmental files.
  • Maintain effective, professional relationships with other offices on campus.
  • Serve on College committees as needed.
  • Perform other related job duties as assigned.

Qualifications

  • Associate degree required
  • A minimum of three years of full-time related work experience required

  • May substitute 5 years related work experience for one year of education up to a maximum of four years education equivalency.

Required Knowledge, Skills, and Abilities

  • Basic English-language writing skills sufficient to complete forms, reports, correspondence, and related paperwork.
  • Basic English-language reading skills sufficient to read forms, reports, class schedules, the College Catalog and Student Handbook, and related correspondence.
  • Basic mathematical skills necessary to verify registration data, prepare requisitions and expense statements,
  • Ability to type with speed and accuracy.
  • Ability to use different types of computer software.
  • Ability to use sound judgment and tact to effectively communicate with others, both verbally and in writing.
  • Ability to learn and perform all essential job functions accurately with minimal direct supervision.
  • Currency in area of responsibility.
  • Knowledge of the college’s mission, purpose, and goals, and the role of an office manager in achieving them.
