Job Summary
The Assistant Dispensary Manager (ADM) functions as shift supervisor during the hours of operations and is a key holder responsible for the opening and closing of the Dispensary. The ADM leads a patient-centric team to attain Trilogy’s high standards of professionalism and compassionate patient service. Additionally, the ADM implements and maintains the policies and procedures of Trilogy and ensures compliance with all state and local laws and regulations.
Responsibilities
The ADM is responsible for assisting the Dispensary Manager (DM) in the day to day activities of the Dispensary. To accomplish these goals, the ADM will excel at the following:
· Assist the DM in managing Dispensary staffing, assuring cost effective coverage during hours of operation.
· Assign duties and maintain accountability of all team patients, in relation to job description duties. Assist DM to establish employee performance standards. Assists with training and supervising the Wellness Advisors and Receptionist. Responsible for monitoring performance outcomes and accountability for results of the Wellness Advisors and Receptionist.
· Foster an environment of exceptional customer service ensuring all patients are welcomed and assisted promptly and courteously. Perform regular inspection of facility to ensure an outstanding patient experience and the highest possible level of patient satisfaction. Provide patient intake services; such as, educating and counseling the patients in product questions or concerns.
· Investigate, resolve and respond to customer or public inquiries and complaints.
· Ensure that all Dispensary agents maintain proper record keeping such as, but not limited to patient intake forms, cash handling records, chain of custody documents and waste disposal logs. Regularly audit patient intake forms for accuracy and completion.
· Monitor sales activities to ensure that customers receive satisfactory service and quality goods. Instruct staff on how to handle difficult and complicated sales.
· Confer with company leadership to develop methods and procedures to increase sales, expand markets and promote business. Provide feedback to senior management on results of weekly marketing initiatives. Execute on marketing tasks as assigned.
· Maintain strict compliance with all Company policies and applicable laws; maintain records according to state law and Company policy. Suggest to DM improvements and opportunities to streamline processes and procedures.
· Oversee inventory to ensure appropriate merchandising. Examine merchandise to ensure that it is correctly priced and displayed and that it functions as advertised. Inventory stock and communicate regularly with DM and staff regarding inventory availability and discrepancies.
· Balance cash and product inventory as part of daily closing procedure.
· Perform work activities of subordinates, such as cleaning and organizing shelves and displays and selling merchandise.
· Maintain a clean, safe, and welcoming environment inside and outside the facility.
· Participate in monthly staff meetings.
Qualifications
Education
· High School Diploma or equivalent required
· Associates Degree in retail, hospitality, or health care management preferred
Experience
· 6 years of progressively responsible experience, which must have included: 4 years in a relevant customer/patient service setting and at least 2 years of supervisory experience, preferably in a retail environment managing a team.
Knowledge
· Knowledge of principles of business management involved in leadership, resource allocation, and coordination/management of people and resources
· Knowledge of principles and processes for providing superb customer service
· Knowledge of mathematics necessary for inventory and cash management
· Thorough understanding of how to achieve results in a highly compliant environment
· Familiarity with history and varieties of medical cannabis strains and their medical efficacy is preferred but not required
· Knowledge of local and state laws and regulations pertaining to medical marijuana, a plus
· Knowledge of principles and methods for showing, promoting, and selling products or services. This includes marketing strategy and tactics, product demonstration, sales techniques, and sales control systems.
· Knowledge of principles and methods for curriculum and training design, teaching and instruction for individuals and groups, and the measurement of training effects.
Skills and Abilities
· Proficient computer & equipment operations skills necessary for running an office/retail center (POS systems; Magnetic/PC card readers, Security cameras/monitory; Word; Excel; office equipment such as telephone systems)
· Strong oral and written communication skills, including presentation skills
· Ability to work independently and as a patient of a team
· Skill in managing physical resources (cash management, budgeting, inventory control, equipment, facilities, materials)
· Skill in managing human resources. Ability to work effectively in both leading and being part of a team. Desire and ability to develop staff
· Ability to effectively plan and prioritize with focus and attention to detail
· Outstanding phone, email, and in-person customer service skills/etiquette
· Ability to communicate clearly and calmly in a positive and didactic manner
· Skilled in performing job duties in a fast-paced environment with the ability to stay even keeled in periods of stress
· Proactive, flexible, adaptable, and a multi-tasker
· Flexibility, willingness to accept additional projects or challenges
· Ability to maintain confidentiality and a high level of ethical conduct; absolute reliability and integrity.
PHYSICAL REQUIREMENTS
· Extended time standing, walking, bending, and reaching
· Ability to lift, push, and pull 50 pounds for a distance of 100 feet
· Ability to sit, squat, bend, and kneel repetitively throughout a workday;
· Ability to work a minimum of 8 hours a day and rotating shifts;
· Flexible schedule availability including nights, weekends and holidays.
ALL POSITIONS REQUIRE
· Must pass a background checkand submit personal information to become a state agent. This includes, but may not be limited to participating in financial and criminal background checks and drug testing.
· Completion of all required prerequisite and ongoing training
· MD Drivers’ License
· Must be 21 years of age or older
