Position Focus:
The Yale Alumni Association (YAA) is responsible for university-wide alumni relations programs and for organizing and supporting events, programs, initiatives, and other opportunities to strengthen alumni relationships with Yale. Reporting to the Senior Director for Lifelong Learning and Travel, this position supports the Senior Director in facilitating operations for alumni lifelong learning programs. The role helps achieve goals for lifelong learning program planning and execution. In collaboration with the Senior Director, plan logistics and details for online and on-campus alumni education programs. Support the Senior Director in managing partnerships with third-party travel vendors including facilitating planning, and operations for alumni travel programs. Work with third party travel vendors and internal partners such as faculty and collaborating departments to plan upcoming travel programs including: trafficking, confirming and monitoring contractual agreements; monitoring the trip departure schedule; reviewing operations plans; validating terms and conditions; problem-solving complex issues that may arise in the program planning and execution process; and managing other details required to mount programs. Manage marketing objectives for lifelong learning programs including collaborating with tour vendors on program marketing plans, ensuring that marketing images, brochures and emails are produced on-deadline with accurate and effective marketing content, writing and editing marketing copy, sourcing content for webinars and virtual tours, monitoring program registrations and adjusting marketing plans as needed. Manage a subset of vendor-based travel programs and other alumni educational programs, including individual program development, promotion plans, evaluation, and coordination with internal and/or external stakeholders. Monitor registrations relative to program targets. Support the Senior Director by helping to develop communication and operational templates for routine steps in the program management process including letters, forms for scheduling, forms for logistical operations, and other standardized materials.

Essential Duties
1. Forges strong partnerships with vendors to develop travel programs for alumni and friends, overseeing all aspects of programs including itinerary review and development, promotion, program evaluation, and coordination with sharing institutions. 2. Cultivates relationships with faculty volunteers, working with them on itinerary enhancement, lecture topics, and connections with alumni in the countries visited. 3. Supervises senior administrative assistant and student assistants. 4. Trains staff representatives on travel programs and conduct pre- and post- trip briefings with representatives and faculty. 5. Maintains the Educational Travel Web site current. 6. Attends professional conferences for benchmarking and market research. 7. Helps staff alumni activities sponsored by the College reunions and the Assembly, including evening and weekend work as necessary. 8. May perform other duties as assigned.
Required Education and Experience
Bachelor's Degree in a related field and four years of related work experience or equivalent combination of education and experience.
Required Skill/Ability 1:
Excellent organizational and project management skills. Demonstrated ability to take initiative, prioritize competing responsibilities, and manage timelines with multiple stakeholders. Ability to work with sensitive information and maintain strict confidentiality.
Required Skill/Ability 2:
Strong technical acumen and comfort with project management software platforms.
Required Skill/Ability 3:
High level of cultural competence. Commitment to an inclusive workplace. Ability to communicate with diverse audiences (age, gender, nationality, race/ethnicity, profession, geography, etc.).

Demonstrated flexibility and agility in responding to changing demands and priorities in a fast-paced environment, including responding to travel-related emergencies. Ability to work creatively and to keep priorities aligned while maintaining professionalism and a sense of humor.
Preferred Education, Experience and Skills:
Professional experience planning affinity travel programs and managing vendor relationships, as well as experience planning adult educational programs preferably with a travel component. Proven ability to work with faculty or senior level individuals at a research university or similar institution. Knowledge of the University’s academic programs.
