Join our Volunteer Coordination team in welcoming newly arriving refugees, as well as asylum seekers and other immigrants, by coordinating our in-kind donations and mobilizing volunteers to serve by preparing homes and greeting new arrivals at the airport. The goal of this position is to recruit, coordinate, and support our donor and volunteer bases who provide these initial welcome items and reception support, as well as improve systems and provide day to day guidance for the donations staff team.
Role & Responsibilities

Donations Team Oversight
- Support and coach regional donations and apartment set-up team staff members
- Hire and train new donations team staff as needed, and support professional development growth of staff
- Coordinate weekly staff schedules & convene team meetings as needed
- Assign volunteer outreach and furniture ordering duties to staff as needed
Donations Coordination
- Continue to engage and grow World Relief’s in-kind donor base across Chicagoland; coordinate and participate in the reception of donations as needed - predominantly furniture and household items
- Maintain and improve systems for inventory tracking, manage regional storage facilities’ supply flow and organization; provide regular updates of top needs to various donation recruitment channels based on inventory; build new arrivals welcome kits of household items as well as oversee interns and volunteers serving in these areas
- Collaborate with other World Relief departments, particularly Family Case Management, to best support clients through the provision of in-kind donation items; coordinate with community and family members of newly-arriving refugees, as well as World Relief interpreters and interns, as needed; serve as point person to regional World Relief staff regarding donation inquires
- Take ownership of coordinating apartment setups for clients as needed in conjunction with volunteers and colleagues, ensure furniture orders are placed with Chicago Furniture Bank in a timely manner and field any concerns with the partnership
- Keep accurate and timely records of in-kind goods donated as required for reports utilizing World Relief’s Microsoft Dynamics database
Volunteer Coordination
- Engage groups of Apartment Setup and Airport Pick-up volunteers; evaluate and improve systems for airport pick-up and apartment setup coordination; maintain and grow sufficient pools of volunteers for increased service needs for refugee arrivals across Chicagoland, providing oversight, training, and ongoing support and recognition of these volunteer groups
- Coordinate one-time service opportunities for groups including donation collection and warehouse service days in the DuPage location
- Collaborate with Case Managers ahead of refugee arrivals to ensure that all volunteer needs are met for a warm reception
- Keep accurate records of volunteer service and airport pickups as required for reporting utilizing World Relief’s Microsoft Dynamics database
- Assist team members when necessary and perform other duties as assigned, such as sharing about the work of World Relief with school groups providing donations
Partner and Grant Management
- Manage communication and reporting for GIK donors, including Welcome.us and the Latter-Day Saints Church partnership
- Maintain primary point of contact with Mattress Firm and Chicago Furniture Bank for furniture partnership, billing, and any concerns that arise by either party

- A passion for engaging volunteers in service opportunities that achieve a specific short-term goal
- Cross-cultural awareness and desire to educate others by providing service opportunities
- Bachelor’s degree preferred
- Willingness and ability to commit to the position for a minimum of two years
- Driver’s license and access to a vehicle required
- Periodic evening and weekend availability required
- Ability to lift 50 pounds and move furniture items on occasion

- Relational intelligence; excellent interpersonal and written/spoken communication skills for colleague, volunteer and donor relations
- A self-starter with strong initiative, follow-through, and organizational skills; must be able to prioritize, multi-task, and pay close attention to detail
- Excellent problem solving and planning abilities, and a willingness to analyze and adapt processes to better achieve goals
- Flexibility and a sense of adventure for when details change
- Basic computer skills (Word, Excel, Publisher, Power Point), strong skills in database entry
