The Kansas Department of Wildlife and Parks (KDWP) is a cabinet-level agency with a Secretary appointed by the Governor. A seven-member, bipartisan commission, also appointed by the Governor, advises the Secretary and approves regulations governing outdoor recreation and fish and wildlife resources in Kansas. The commission conducts business during regular public sessions.

KDWP employs approximately 460 full-time employees in five divisions: Executive Services, Administrative Services, Fisheries and Wildlife, Law Enforcement, and Parks.

Position Summary & Responsibilities

Position Summary: This full-time, unclassified Administrative Specialist position is located in the Wichita Region 3 Office, and is directly supervised by Alan Stark, Parks Division Regional Supervisor.

Job Responsibilities may include but are not limited to the following: This position is responsible for opening and closing procedures of the office, scheduling clerical support to ensure office is staffed at all times and providing timely customer service. This position requires a comprehensive understanding of state laws, department rules, and regulations in order to answer all public inquiries. Incumbent must insure that courteous and professional assistance is offered to constituents; is expected to handle the more difficult questions and information requests or directs to appropriate department employees. This position is responsible for determining accurate coding, timely preparation and submission of purchase requisitions, payment vouchers, travel vouchers and BPC reconciliation, ensuring that proper documentation is uploaded for all divisions (Law Enforcement, Parks, Fisheries and Wildlife, and Public Lands Section).

This position also enters, edits, verifies, and supervises the accuracy of confidential data, both financial and personal; sells agency automated licenses and/or permits, handles cabin reservations, and notifies appropriate manager; and oversees staff in the selling of agency items. Incumbent will be accountable for all agency issuances (licenses, permits, receipts, distributions, registrations), managing receipts, and for appropriately disbursing money, recording transactions and balancing books; must have complete understanding of all permit sales including boat registrations, which require vessel purchase transaction documentation, tax payment documentation, verification of hull identification, and proper filing of all documents; prepares daily deposits of receipt monies, insuring that banking transactions are completed accurately; responsible for accounting of all revenues received and deposited according to department policy and as directed by the Pooled Money Investment Board; responsible for monthly bank and change fund reconciliations.

This position assists in managing the regional office budget; manages office and building maintenance supplies; orders uniforms and supplies as requested; maintains and organizes office filing system insuring quick access to information; prepares a wide variety of Department forms and records, special permits (hunt from vehicle, crossbow, field trials); sends out renewal notices to game breeders; accounts for bobcat tags and proper issuance procedures; and is responsible for the acquisition, operation, maintenance, and contract maintenance of all office equipment.


Qualifications

  • Education: Education may be substituted for experience as determined relevant by the agency.
  • Licensing & Certification: The successful candidate must pass a background check.

  • Minimum Qualifications: Two years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.

  • Preferred Qualifications: Applicants with prior experience in office management are strongly preferred. Applicants with two years’ computer experience with proficiency in Microsoft Office, including automated spreadsheets, that have accounting experience and web-based computer application experience are preferred.

  • Additional Qualifications/Skills/Abilities: The successful applicant must have a mix of computer database, spreadsheet office equipment, business communication, and word processing knowledge. Preference given to applicants having experience with the SMART process. Applicants must possess the ability to communicate effectively with others. The successful applicant will be innovative and a resourceful self-starter able to work with minimal supervision and demonstrate organizational skills.
