Title: Administrative Operations Coordinator

Pay: $40/hr.; Non-Exempt

Schedule: Monday-Friday, 40 hours/week between 9am-5pm; after-hours and/or weekend hours as needed

Location: Downtown Eugene (12th Ave); some remote flexibility

Who We Are: It takes a wide range of amazing people to achieve the mission of White Bird Clinic (WBC) and to be successful in the work that we do. We provide compassionate humanistic healthcare and supportive services to individuals in our community, so everyone receives the care they need. We are Lane County’s Crisis Intervention Service and operate CAHOOTS, a mobile crisis and medic response team for Eugene-Springfield’s Public Safety System. We provide primary care services and offer emergency, preventative, and restorative dental care. Uninsured patients are charged on a sliding scale based on income. We provide substance use, end-of-life, and mental health counseling. We connect clients to OHP and SSI/SSDI supports, lifeline phone services and food stamps.

Requirements include:

  • Minimum five (5) or more years’ relevant experience in nonprofit leadership as manager, director, or above
  • Demonstrated commitment to social service related to White Bird's mission and values
  • Demonstrated leadership experience and oversight/management (direct or indirect) of at least 100 staff members
  • Strong organizational, planning, problem analysis and problem-solving skills
  • Previous experience in an operations or operationally-focused position (e.g., Operations Manager, Clinic Manager, Business Office Manager, etc.)
  • Bachelor's degree in relevant area of study (e.g., public health, healthcare administration, human services, etc.)
  • Excellent written and verbal communication skills
  • Enthusiasm for and/or experience with catalyzing positive change in an organization
  • Ability to work in a complex, clinical and high-visibility environment
  • Experience with confidentiality and the ability to handle sensitive, confidential situations
  • Proven track record of working with others through poise, tact and diplomacy
  • Strong work ethic

Preferred:

  • Relevant graduate degree such as in public health, healthcare administration, etc.
  • Experience with collective consensus process
  • 2-5 years of experience working with HR/employment practices and employment laws
  • Proficiency in Spanish or another, non-English language

What You’ll Do: As the Administrative Operations Coordinator, your ultimate responsibility is managing change and supporting the organization’s capacity for positive, impactful change. The tactical part of this role includes responsibilities for establishing and maintaining effective operational programs and efficient systems to support overall clinical operations. You will lead the teams responsible for administering projects and services that support White Bird Clinic programs & organizational development.

As a member of the leadership team, tasked with demonstrating responsible and empathetic leadership alongside your peers, the ideal candidate for this position understands how radical and compassionate candor will lead our organization to the future. You understand where the organization is now, the challenges to overcome, and the future state of where White Bird Clinic can go. You are motivated to help others adapt to change and see the benefits of open-mindedness to new ways of doing and thinking. Day-to-day duties include:

  • Develop and implement systems to assure cost effective, high quality, coordinated, patient focused care and other services necessary to meet the strategic, operational and financial goals of the clinic
  • Collaborate with stakeholders to manage agency budget, program budgets, and operational benchmarks
  • Ensure the agency maintains a professional facility appearance both indoors and outdoors by partnering with and supporting the facilities coordinator on projects
  • Oversee supply chain management activities for all facilities including but not limited to soliciting bids for supplies or large items, assisting program coordinators and other staff with ordering processes, managing inventory, and negotiating best pricing
  • In collaboration with the health center operations coordinator and the executive coordinator, oversee agency operations
  • Serve as administration representative for performance management, professional coaching, and development for program coordinators
  • Lead hiring committees, oversee and provide training, coaching, counseling, and career development for administrative operations teams’ staff members
  • Assist program coordinators and HR in assessing program staff performance and providing coaching and guidance
  • Assist with updating agency policy and procedure, with a focus on diversity, equity, and inclusion
  • Participate in strategic planning with executive coordinator, fiscal, and health center operations coordinator
  • Collaborate with the administrative leadership team and the board of directors on board development
  • Provide overall support to the agency to maintain current services while also working toward expanding programs and our impact in the community
  • Listen to and coach employees through large or complex change initiatives agency-wide
