Position Overview*
Under the supervision of the Director of Youth Workforce Services Program, the Administrative Clerk II will provide administrative support to the Youth Workforce Services Department, Central and East LA YouthSource Centers. This position will provide administrative support, including answering and transferring phone calls, taking messages, ordering supplies, check requests, travel arrangements, making appointments, monitoring customer flow as well as informing youth about services.

Duties*

  • Assist with office workflow in the absence of the Director of Youth Workforce Services and Program Managers.
  • Assists Director of Youth Workforce Services with presentation for site visits, program and fiscal audits.
  • Record, transcribe and disseminate meeting minutes, letters, reports and other program materials in appropriate business format.
  • Participate in team staff meetings and professional development activities.
  • Monitor phone inquiries, receive visitors and respond to direct requests for information and/or forward messages to appropriate staff.
  • Receive, sort and distribute incoming mail and assist with outgoing mail
  • Process and monitor check request, reimbursements and purchase orders
  • Assist program staff in obtaining quotes for required supplies or services
  • Maintain record binders for all expenditures and supporting documentation for auditing purposes
  • Assist with maintenance of participant records
  • Booking travel and hotel arrangements, as needed.
  • Maintain equipment inventory and distribution of office and participant supplies/supportive services
  • Maintain master calendar and reserve rooms for meetings/events
  • Coordinate materials for meetings, training sessions and other activities
  • Maintain and update database(s) as needed.
  • Attend, record and transcribe minutes of collaborate and staff meetings.
  • Assist program staff with special projects or initiatives
  • Must be able to meet deadlines and complete assigned tasks
  • Assist Program Director in preparing for presentations, communications, including performing internet searches, creating PowerPoint presentations, and providing additional support as needed.
  • Carries out mission, vision, and values established by the President/CEO and Board of Directors.
  • Participate in the overall agency accreditation/ continuous quality improvement processes.
  • May perform other duties as directed by Program Director.

Qualifications and Experience Requirements

  • High school diploma or equivalent.
  • Minimum of two (3) years paid office experience.
  • Must be organized, flexible, detail oriented, and creative.
  • Strong commitment to the mission, policies, goals and philosophy of Para Los Niños.
  • Bilingual (English/Spanish) with the ability to perform written and oral translation preferred.
  • Ability to excel at details, multi-tasking and working under pressure in a fast-paced environment.
  • Must be proficient in MS Word, PowerPoint, and Excel.
  • Excellent writing, verbal and organizational skills
  • Ability to work independently
  • Must be available to work flexible schedule (some weekends and evenings)
  • Previous experience working with city and/or county organizations/programs or Knowledge of city/county organizations/programs
  • Must have the ability to nurture respectful relationships with clients and must be sensitive to the client cultural and socioeconomic characteristics.
  • Experience in WIA preferred.

Special Requirements*

  • Must have a reliable automobile for use on the job (mileage to be reimbursed). Valid California Driver License. State required automobile insurance coverage.
  • TB clearance, to be renewed every two years
