Administrative Assistant III (Neurosurgery Spine)
Job description
This will be a full time 100% career position in the Department of Neurosurgery, Spine Program. The Administrative Assistant will provide coordination of care, continuity, follow-up, and support for the patients and their families. Responsibilities include, but are not limited to: answering, triaging and responding to patient phone calls, scheduling clinic appointments, pre and post scrubbing of clinic appointments, assisting patients with scheduling diagnostic tests, preparing charts and documents for clinic visits, enter referrals and orders, coordinate scheduling and management of patient surgeries and all follow-up care, assisting with obtaining insurance pre-certifications and referral authorizations, referral work queues, process requests for medical records, process medication refill requests, organize and maintain a computer calendar system, and assist with processing disability and return-to-work forms and various letters at patient and provider’s request. Other projects and administrative tasks will be assigned on an as needed basis. In addition, you will manage and coordinate the academic office, handle all academic committee meetings and calendars, assist with search committees for spine faculty, and neurosurgery vascular/endovascular faculty positions. You will handle and communicate with applicant’s regarding their CV’s and LORs. You will work closely with fellowship coordinator, arrange search committee interviews with applicants, furnish spine surgeons and the applicants a detailed itinerary for their interviews. You will ensure new fellows are well prepared prior to their commencing their start dates at UCLA. You will also assist to ensure smooth entry and exit of rotating spine fellows and ensuring credentialing paperwork is followed up on in a timely manner. You will act as research coordinator in charge scheduling research MRIs, research appointments and courtesy parking. You will manage research spreadsheets and additional research spreadsheets coordinated in collaboration with other surgeons. You will also monitor all charges to the Vice Chair’s research grants as well as review and update on a weekly basis research transaction reports for billing purposes. Pay Range: $26.99 - $38.66 Hourly
All Required: * Comfortable with changing work flows * Demonstrated basic knowledge of physician office policies and procedures * Ability to accept ambiguous circumstances and take action where answers to a problem are not readily apparent * Skill in working independently and following through on assignments with minimal direction * Working knowledge of patient related policies and procedures, as well as a thorough understanding of the University system * Familiarity with physician office billing procedures * Ability to handle variable supervisors and be receptive to an unpredictable work schedule.
