Summary:

Goldbelt C6, LLC., is seeking an Administrative Assistant II to provide executive administrative support to the Director. This role will support the Bureau of Population, Refugees, and Migration (PRM) Office of the Executive Director.

Essential Job Functions:

  • Provides administrative assistant support to the Director as required.
  • Prepares Action Memos for approval and signature.
  • Keeps officers advised of developments and progress of pending issues.
  • Performs special assignments involving analysis, compilations, and summarization, as needed.
  • Assists in planning and coordinating bureau projects and processes.
  • Compiles and maintains records of business transactions and office activities, performing various clerical duties.
  • Copies data and compiles/organize records and reports and files documents.
  • Tabulates and posts data in records and report databases.
  • Schedules meetings/conference calls, coordinates conferences, room scheduling, and sets up video conferencing or conference calls when needed.
  • Operates office machines, such as PCs, calculators, photocopy machines, scanning equipment, and fax machines.
  • Takes minutes at meetings and briefings and orders office supplies.
  • Other duties as assigned.

Necessary Skills & Knowledge:

  • Highly proficient with Microsoft Office’s Word, Excel, Access, PowerPoint, Publisher, and MS Project Experience.
  • Ability to work both independently and with others and under tight deadlines.
  • Strong attention to detail with an ability to multi-task.
  • Excellent organizational, interpersonal, and communication skills (both written and oral).

Minimum Qualifications:

  • 3 – 5 years of administrative/office management experience supporting manager/director level staff.
  • Ability to obtain and maintain a Secret security clearance.
  • Ability to travel as needed.

Preferred Qualifications:

  • Bachelor’s degree from an accredited university in a related field
  • Currently has an active Secret clearance.
  • Prior experience working with the U.S. Department of State is highly desired to understand the culture and environment.
