Salary is Non-Negotiable. The successful candidate will be hired at the minimum salary.
This position is responsible for administrative and clerical work in the General Counsel’s Office. This position provides assistance to the General Counsel. In addition, this position sorts mail, maintains inventory, files, and answers phones. Will work under direct supervision of the General Counsel.
This position is eligible for a hybrid remote work/onsite schedule after a 90-day period, as outlined by existing Circuit policies and procedures.
Working Conditions:
Moderate noise; business office setting.
Physical Demands:
Work involves a significant amount of standing, walking, sitting, talking, listening, stooping, and reaching with hands and arms; must be able to transfer up to 10 pounds.
- Bachelor’s degree from an accredited college or university in Legal Studies, Public Administration, Criminal Justice, or closely related field.
- One (1) year of work experience in advanced general office work.
- Paralegal certificate preferred.
Knowledge, Skills, and Abilities (KSAs):
- Thorough knowledge and understanding of business English, spelling, and punctuation.
- Ability to communicate orally and in writing.
- Ability to multi-task and adapt to new procedures.
- Excellent administrative and clerical skills.
- Excellent organizational skills.
- Ability to work independently and collaboratively.
- Ability to establish and maintain effective working relationships with court-related agencies, such as Clerk of Courts, Judiciary, Procurement and technical related agencies.
- Ability to work with minimal supervision and recognize and establish priorities.
- Proficient in Microsoft Word, Excel, Power Point and Outlook.
Responsibilities:
- Provides statistical reports on a monthly basis, or as needed.
- Ensures office equipment maintenance by arranging repairs, as needed.
- Maintains records on the disposal or acquisition of office equipment.
- Ensures availability of office supplies by ordering from the Procurement Division, as needed.
- Keeps records of any office equipment that the Division may need to request in the annual budget.
- Distributes incoming mail.
- Assists staff attorneys with formatting and revising documents as needed.
- Reports any environmental or security concerns to the building management.
- Assists in emergency preparedness, as necessary.
- Acts as an office receptionist for any visitors, such as bailiffs or Judicial Assistants, who may visit the office and need to be directed to an individual attorney.
- Updates the General Counsel and the Supervising Attorneys daily with attendance information for the office.
- Answers the phone in the office, and provides phone coverage for the General Counsel’s assistant as necessary.
- Assists the General Counsel by filling in for her assistant, as necessary.
- Performs related work as required.
