Working Conditions
This is a full-time, exempt position and is eligible for benefits, leave, and retirement. This position is eligible for externally mobile designation, meaning up to 60% of the work can be performed from home. During the training of this position, you will be expected to work from the WSAC headquarters located in Olympia, WA, unless authorized by supervisor to work remotely. Following a training period, work is required at the WSAC headquarters 2-3 days per week, all other working days may be performed remotely. Successful candidates must be able to work at the Olympia office when required. Equipment and supplies required to work from home will be provided by the agency, including a computer, monitors, keyboard, mouse, and an office chair.

The standard schedule is five days per week, eight hours per day. Flexible work schedules must be agreed to by the employee and supervisor. This position is overtime eligible and covered by state civil service rules. The Administrative Assistant position requires occasional in-state travel and occasional evening and weekend work. Travel is typically centered around event planning and coordination throughout the year with advanced notice.

As an Administrative Assistant for the Washington Student Achievement Council (WSAC), you will provide high-level administrative support helping the agency to run smoothly. This position reports to the Director of Operations & Administration, while supporting any variety of teams across the agency. Success in this position requires: a team player who has a strong interest in the work of the Council and understands their role in helping to promote the initiatives of the Agency, a person who understands how their words and actions affect others and is willing to grow and foster both internal and external working relationships. Someone who is highly organized, comfortable with ambiguity, and who can adapt to change quickly and efficiently will succeed in this position. Additionally, we are looking for someone who is highly skilled with Microsoft Outlook, Zoom (or similar online platform), internet searches for research and has a propensity for multi-person executive-level scheduling. Duties

Some of the duties performed include:


  • Support multiple executive-level staff, including scheduling and coordination of appointments and meetings, calendar coordination, and the unique administrative needs of the executive(s) you support.
  • Provide administrative and logistical support to colleagues, such as: scheduling and supporting group meetings, assisting with the development of presentations and event materials, coordination of technology needs for in-person and hybrid meetings, and assisting with a variety of administrative processes.
  • Serve as an active member of the Support Staff team working to coordinate events and meeting planning, including contract negotiations and execution for venue space, catering needs, and on-site technical support. This includes serving as the point of contact for vendors during large events. These events and meetings will include travel coordination for WSAC staff, processing of travel requests, booking of airfare, hotel, transportation, and registrations for events.
  • Following travel you will prepare travel reimbursements, adhering to internal rules and regulations as well as State Administrative & Accounting Manual (SAAM) guidelines.
  • Serve as primary technical support for online or hybrid meetings, including large webinar events hosted on Zoom (or similar platform) with up to 500+ attendees on average.
  • Serve as an active member of the front desk team. This includes answering & directing incoming phone calls, assisting with the opening of agency mail, assisting vendors, and being available for on-site staffing needs at WSAC headquarters.
  • Continuously build positive working relationships with agency partners, stakeholders, & staff.
  • Continuously learn and apply protocols regarding records retention and archiving in support of agency records management across departments.
  • Willingness to learn and apply protocols regarding the public records act in support of RCW 42.56.

Qualifications

Required Qualifications:


  • Four or more years (full-time equivalency) of experience providing professional-level support in an office, assisting executive level staff, or work supporting office operations.
  • Associates Degree (Note: Education may be replaced on a year-for-year basis with additional administrative work-related experience.)
  • Minimum 5-years’ experience with the following Microsoft applications:
    • Outlook / Word / PowerPoint / Excel
  • Minimum 2-years’ experience working with Zoom (or equivalent online platform)
  • Commitment to advancing diversity, equity, and inclusion.
  • The ability to travel within Washington State as required.
Desired Qualifications:
  • Direct experience supporting executive-level managers within state service.
  • Experience providing technical support or virtual hosting using the following virtual. presentation platforms: Zoom Meeting, Zoom Webinar, and/or Zoom Classroom.
  • 1 or more years’ experience with Microsoft Teams and SharePoint.
  • Bachelor's degree.

Supplemental Information

Compensation
Full salary range for this exempt, professional position is $45,609 - $61,706.
