Administrative Assistant
Job description
UP is looking for an Administrative Assistant to join our Tech team. This position is responsible for providing professional administrative support to the Tech Assistant Vice presidents and Tech department. Responsibilities include meeting scheduling management, handling of sensitive or confidential information, assisting with recruiting, onboarding and personnel management processes and performing a wide array of administrative support activities.
The salary range for this position is $49,500 - $66,000. The final salary of the selected candidate for this role will be set based on a variety of factors, including but not limited to, experience, education, specialty and training. This position also includes additional compensation and benefits offered by Union Pacific.
To excel in the administrative assistant position, excellent communication and organizational skills are critical. A successful candidate must be able to handle multiple tasks simultaneously, prioritize effectively, and work well under pressure with a keen attention to detail. Additionally, the administrative assistant must be proficient in using Microsoft Office 365 and other office equipment to perform their tasks. Due to the highly confidential nature of some tasks, the administrative assistant is expected to exercise discretion and maintain confidentiality at all times. The administrative assistant will also be responsible for light booking keeping, record tracking invoice payment, and processing. This position will also require some event planning regarding client meetings and employee events throughout the year.
Accountabilities
- Anticipate and oversee the schedule for department executive team including special events and business cycles
- Provide effective communication support for customers and employees. Ensure that employee inquiries are researched and responded to in a timely manner, and exercise confidentially and judgement in escalating critical issues
- Coordinate activities associated with onboarding, transferring, and exiting employees. Assist in recruiting process by coordinating and scheduling of candidate interviews, among other duties
- Coordinate large staff meetings and training sessions including meeting setup, presentation preparation and communication with attendees
- Assist in administrative functions and special projects for recognition, team building, and community service initiatives utilizing Outlook, Excel, PowerPoint, Access and Word
- Anticipate, prepare, and promote floor safety as Department Floor Coordinator
- Contribute to efficiency and effectiveness of Tech by improving planning and reporting processes while identifying and solving problems to maximize value creation
Qualifications
Required- A high school diploma or Graduate Equivalency Diploma (GED)
- Advanced verbal and written communication skills
- Customer-focused AND goal-oriented
- Able to efficiently multi-task in a dynamic environment
- Excellent attention to detail
- A Bachelor's degree
- Intermediate problem solving and analytical skills
- Intermediate Microsoft Office (Excel, PowerPoint, Word) skills
- Intermediate organization AND prioritization skills
- Advanced time management skills
