The Administrative Assistant oversees front office functioning in compliance with Head Start/Early Head Start performance standards, federal and state law and Children First policies and procedures. In addition to supervising the Office Assistant, the Administrative Assistant provides financial, logistical and operation support to Children First departments. This position works under the direction of the Office Manager. Work is reviewed through regular coaching and feedback and evaluations with supervisor.

Qualifications
This position is Monday to Friday - 8 a.m. to 5 p.m.
3 years Supervisory experience required
Fluency in Spanish (spoken and written) is required
Knowledge of:

  • Administrative practices.
  • Supervisor practices
  • Expert in Word, Excel, Outlook

Ability to:

  • Speak, read and write English and Spanish, required.
  • Use various word processing, database, spreadsheet, Internet and email software.
  • Operate wide variety of office equipment such as copier, fax, postage meter, voice mail, etc.
  • Handle multiple tasks simultaneously with efficiency, accuracy and attention to detail.
  • Handle highly confidential and/or sensitive information.
  • Manage time, stress and constantly changing situations professionally and courteously
  • Maintain professional boundaries with families.
  • Valid Driver’s License and acceptable driving record required– proof of auto insurance within agency limits, or access to transportation for site visits.
  • Immediate/continued enrollment in the Criminal History Registry-Child Care Division.
  • High School Diploma or GED required.
  • At least five years administrative with supervisory experience
  • Dexterity of hands and fingers to operate a computer keyboard.
  • Sitting for extended periods of time using computer keyboard, telephone and other machines.
  • Standing to file documents, make copies, etc.
  • Hearing and speaking to exchange information; seeing to view a computer monitor.
  • Exertion of up to 20 lbs. of force occasionally (typical office).
  • Respond both physically and mentally to emergency or crisis situations.
  • Experience variability in temperature, environment and noise.
  • Experience smells associated with toileting and children who are ill.
  • Come in contact with children who are ill and/or possibly contagious.
  • Oversee.
  • Supervise the Office Assistant position.
  • Reception operations.
  • Weekly AP functions.
  • Financial.
  • Responsible for centralized purchasing of communal supplies agency wide.
  • Receipting of fees and preparing bank deposits.
  • Reconciliation of agency credit cards.
  • Renewal of insurance premiums.
  • Administrative.
  • Maintain various inventory databases and inventory control.
  • Assist staff with IT and phone troubleshooting.
  • Assist with translation needs.
  • Assist with staff onboarding / termination and retention processes.
  • Assist Program with annual preparation for closing out old year and setting up for new school year.
  • Assist with staff recognition procedures.
  • Serve as mentor to Parent Training Program.
  • Serve as backup to EOO positions (exclusive of Maintenance Technicians).
  • All other duties as may be assigned by Supervisor.
