Position Overview
As the facility Timekeeper, you will hold a key role in the processes that ensure our staff are compensated correctly for their time worked and the benefit time they receive. You will have access to information that is of the utmost importance to our staff, and they will count on you to be sure they are being compensated fairly. Job Responsibilities
1. Maintains employee time and attendance records via electronic timesheet.
2. Prepares and audits complex financial documents.
3. Prepares Payroll Time Report and manually calculates and checks each employees’ bi-monthly attendance, roll call, shift differential, overtime, temporary assignment, paid lunches, holidays, and any other information affecting employees’ pay and submits to Payroll semi-monthly.
4. Maintains complete and accurate filing system and records.
5. Performs other duties as required or assigned which are reasonable within the scope of the duties enumerated above.
Minimum Qualifications
1. Requires knowledge, skill, and mental development equivalent to completion of two (2) years of college and completion of an approved training course OR three (3) years of related clerical bookkeeping experience.
Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
Preferred Qualifications (In Order of Significance)
1. Prefers at least one (1) year of experience in a timekeeping department reviewing and entering timekeeping information for processing.
2. Prefers at least one (1) year of experience following and implementing timekeeping policies and procedures.
3. Prefers at least one (1) year of experience utilizing software such as Microsoft Word, Excel, and Outlook or similar software.
4. Prefers at least one (1) year of experience utilizing common office equipment such as multi line phone system, copier, fax, and scanner.
5. Prefers at least one (1) year of experience creating and manipulating spreadsheets for reporting purposes.
6. Prefers at least one (1) year of experience compiling information from various documentation sources to be summarized and submitted on a monthly or bi/monthly basis.
7. Prefers at least one (1) year of experience researching related fact gathering to be proficient with identifying and resolving discrepancies found in documentation.
8. Prefers at least one (1) year of experience answering common timekeeping questions for employees.
9. Prefers at least one (1) year of experience working in an office setting.
10. Prefers at least one (1) year of experience maintaining a filing system.
Conditions of Employment
1. Requires ability to pass the IDOC/IDJJ background check.
2. Requires ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois. Please note that although the law has changed, the Department will continue to enforce the Department’s zero tolerance Drug Testing policy. The use of unauthorized drugs, including cannabis, by an employee, regardless of the position held is prohibited.
