Job Summary
To direct and coordinate the daily activities of the Account Services department. To ensure the timely and accurate processing of all job functions handled by the department including, Payroll, Receipting, Term Share Certificates, Trust Accounts, Money Market Accounts, New Accounts, Deceased Accounts, Wire Transfers, IRA Accounts, ACH, Garnishments and Levies, Returned Deposits and Sharedraft Exceptions. To assist in the development of the staff, ensuring courteous and efficient service is provided to both members and Provident employees. Ensure the department operates efficiently to assure member and staff satisfaction and to prevent Credit Union losses.
What you will do
- Assist in managing the following job responsibilities/functions:
- Ensure outstanding service is provided to members and Provident employees.
- Assure timely and efficient department operations, including processing member investment accounts (Term Share Certificates, IRAs, Trust Accounts and MMAs), processing payroll, ACH, Deceased Accounts, New Accounts, Wire Transfers, Receipting, Levies and Garnishments, Returned Deposits and Sharedraft exceptions.
- Federal and State Tax Reporting and payments, backup withholding and IRA tax reporting.
- Ensure general ledger accounts pertinent to Account Services are balanced and outstanding items are cleared within the established deadlines.
- Ensure safety and security of confidential member information as well as cash and negotiable instruments.
- Assist in the interview and hiring process.
- Motivate staff to cross train so that all positions are supported during vacations and illnesses and to promote employee growth and development.
- Supervise staff by answering questions, concerns and assisting with job related problems.
- Ensure there is high level of employee morale within the department.
- Ensure a team environment exists, both within the department and with the departments with whom we interact.
- Plan, lead and participate in meetings.
- Update procedures quarterly.
- Schedule vacations, lunches and breaks.
- Compose and send letters to members as needed.
- Assist in the preparation and monitoring of the department budget.
- Review and summarize the employee time cards for the Accounting Department.
- Notify, using the proper communication channels, the Information Technology department when system problems occur.
- Handle irate member calls in a professional and courteous manner.
- Monitor the inventory and order the supplies for the department.
- Assist in writing/presenting employee performance evaluations.
- Act as mentor for employees.
- Coach/offer feedback to help employees improve performance. Adhere to the progressive counseling guidelines established by the Human Resources Department.
- Manage staff turnover.
- Monitor Account Services queue daily to ensure all incidents are processed in a timely manner.
- Performs other duties as assigned.
- Excellent listening and speaking skills.
- Excellent written communication skills.
- Complete required BSA & OFAC training annually.
- Understand and adhere to BSA and OFAC policy and procedures.
Education / Experience / Skills and Qualifications
- Associate's Degree or College level courses
- 3+ years of related experience including management/supervisory experience
- Ability to write letters to members and compose e-mail.
- Must have excellent interpersonal skills
- Must have excellent customer service skills
- Must have excellent organizational and time management skills
- Must have effective analytical skills
- Must have excellent math skills and an understanding of the basic accounting principles.
- Must be able to effectively handle a multi-task, diverse environment.
- Must be knowledgeable of all policies, procedures, rules and regulations as they pertain to the Account Services Department.

Location & Schedule:
- At Redwood Shores, CA on Monday - Friday, 8:00 AM – 5:00 PM (9:00 AM – 6:00 PM during a scheduled month of Saturday shifts)
- Saturday, 8:00 AM – 5:00 PM
