What to Expect

The Workplace Specialist provides workplace services and administrative support to increase individual well-being, personal productivity, and organizational effectiveness. With a primary role in facilitation, this role is at the forefront of delivering a positive office experience via culinary, janitorial, and space planning programs. As part of a “front-of-house” team, the Workplace Specialist is responsible for creating a supportive and comfortable atmosphere for employees, colleagues, clients, interviewees, and visitors.

What You’ll Do
  • BU Engagement (Day to Day Requests)
  • WATT Ticket Management (Site Level)
  • Vendor Management (Day to day service delivery)
  • Office Space Management(Updating Seating, Labeling Spaces, Identifying spaces, Space Audits)
  • Building Cleanliness Oversight
  • Project Management (Small Projects)
  • Workplace Comms
  • (building notices, event notices, space closures, Move comms)
  • PO Management
  • Workplace Initiative BU Engagement
  • Furniture Inventory/purchasing
  • Office Supply ordering (outside janitorial provided standard)
  • Tool Purchasing and inventory management
  • Weekly ops reporting
  • Conference room/training room management
  • WP alias management (keeping up with building general box for request/inquires)
  • MAC Management (Moves, adds, and changes)
  • Internal Stakeholder Engagement (WP Design, Fac Ops, Culinary, Grounds, Security, EHS, Mailroom, IT)
  • Event planning and execution
  • Ad-hoc Request
  • Site level ownership (day to Day WP related Duties/Services)
  • Furniture Inventory management
  • Desk and space audits
  • Performs daily cycle counts of materials
  • Provides accurate cycle count metrics of inventory
  • Identifies inventory discrepancies, investigates root causes, and recommends improvements to cross-functional teams for the purpose of obtaining high levels of inventory accuracy
  • Identifies racking/labeling discrepancies and proactively corrects the issues
  • Assists with general material handling and inventory control activities as required.
What You’ll Bring
  • Experience leading and organizing volunteers
  • Operational event management experience
  • Experience in culinary, janitorial, space planning or facilities
  • Must be available to work nights, weekends, and maintaining a flexible schedule
  • Work other times during the day, as needed on an on-call basis
  • Strong public relations and overall communication skills
  • Ability to make fast, sound decisions
  • Track record of being a strong team player
  • Good problem-solving skills
  • Works well under pressure and in a fast-paced environment
  • Flexible and willing to work simultaneously on a wide range of projects with the ability to prioritize tasks
