Position Summary

The Specialist, Training Logistics & Communication reports to the Senior Manager, Training Scheduling. The position is responsible for coordination of various logistics associated with operational training programs. Furthermore, the position will develop timely training communication targeted at customers and stakeholders. Provide key information on changes and process inquiries from various electronic communication channels to include tracking and resolution.

Key Responsibilities

  • Work closely with Leadership, Stakeholder, & Business Partners to provide training logistic/communications to our customers
  • Execute most economical and contractual logistic requirements for students to maximize efficiency for airline’s training programs
  • Responsible for booking, adjusting, and providing reservation information to learners in timely manner and provide assistance
  • Work closely with various vendors in securing lodging, air/ground transportation while ensuring efficient use of airline resources
  • Deliver clear/concise information to learners regarding training logistics such as location, parking, changes, and various times
  • Identify and provide solutions for communication gaps and track inquires to resolution across wide spectrum of channels
  • Promptly answer calls, take messages, reply to voicemail/email messages and document interactions to track metrics of actions
  • Evaluate/recommend /implement improvements of existing communications channels and tailor messaging to audience
  • Identify key issues and provide timely responsiveness to concerns across various spectrum of operational training
  • Administer communication platforms to include websites, newsletters, and act as departmental Webmaster
  • Serve as primary point of contact for training inquiries associated with the company’s electronic communications portal
  • Perform administrative ancillary tasks and other duties assigned to support high-tempo operational environment across the team

Minimum Requirements

  • Bachelor’s degree in communications, journalism, public relations or related field, or equivalent work experience
  • 2 or more years working with employee communications, with experience in writing and producing products to share information
  • Deadline oriented, strong writing skills, resourceful, processes good judgement and the ability to work independently
  • Working knowledge of airline, hotel, and ground transportation reservation systems to coordinate travel for employees to sites
  • Advanced experience in Microsoft Work, Excel, and Outlook required; ability to learn new computer systems and software
  • Highly organized with strong attention to detail and ability to meet stringent timelines while working with busy management teams
  • Work closely with multiple levels of management/employees

Preferred Qualifications

  • Background in customer service-focused industry
  • Previous airline experience in working with unionized employees
  • Competency in Access, Vizio, and other analytical tools
  • Knowledge of FAA and other regulatory requirements
  • Experience in Flight Crew Programs of other scheduling tools
