The Veterinary Medicine and Surgery department exists to serve MD Anderson research programs. Our primary mission is to provide the best possible veterinary care, facilities and services in support of the institutional animal care and use program, in keeping with all applicable laws, regulations, guidelines and Association for Assessment and Accreditation of Laboratory Animal Care (AAALAC) accreditation standards.

KEY FUNCTIONS
Reception
- Answer the departmental telephone lines and departmental email address, forward to the appropriate person, and/or take messages.
- Greet visitors to DVMS areas and assist them in getting to the appropriate destination within the department.
- Monitor entrance and exit points and be aware of all individuals coming through egress areas.
- Ensure appropriate screening, if necessary
- Utilize the overhead paging system and institutional pagers/cell phones to contact individuals within the department, as needed.
- Receive packages and notify recipient of delivery.
- Collect and distribute departmental mail in designated areas.
Administrative Support
- Maintain inventory of office supplies in designated areas and place orders when necessary.
- Assist sections with finding and/or ordering supplies, as needed.
- Maintain the office printers, copiers, scanners, and fax machines.
- Ensure that all equipment has adequate ink/toner and paper and is functioning appropriately.
- Resolve issues with equipment according to appropriate processes.
- Provide secretarial assistance for the department, including but not limited to- typing correspondence and institutional forms via computer, entering data into reports, sending facsimiles, photocopying documents, and providing messenger/courier service to departments within the hospital as well as outside.
- Schedule and setup meetings in departmental conference rooms. Ensure equipment is working properly and the meeting host is adequately equipped to start the meeting.
- Provide backup for other departmental reception and administrative duties when necessary.
Colony Data Management
- Complete and print new cage card requests submitted through electronic colony management system. Communicate with and assist researchers and DVMS staff regarding the correct procedure for requesting cage cards.
- Deactivate cage cards as received and activate newly created weaning and separation cages upon receipt in the designated main office areas. Maintain all activated and deactivated cards as defined in retention schedule.
- Create new quick cards when requested and communicate expectations with DVMS staff and researchers to obtain the correct information.
- Process overcrowded cage notices in electronic colony management system, according to defined procedures and timelines.
- Complete automatic separation cases and overcrowded cage cases in electronic colony management system. Delete old overcrowded cage cases and process outstanding automatic separation cases.
- Receive GEMF and USDA animal orders in electronic colony management system, according to defined procedures.
- Scan and file animal order receiving documents.
- Enter data and metrics into electronic colony management system as requested by DVMS sections.
- Provide backup to other administrative staff for processing funding authorization forms.
- Other duties as assigned.
