The Security Master File Supervisor is responsible for the effective direction and supervision of the Security Master File team. S/he assists the staff with day-to-day processing activities to provide the team with constructive feedback and ensure standards of quality controls are met. Responsibilities include performing high-level, specialized, operational securities processing activities in support of the firm’s business lines. S/he is a Security Master File (SMF) subject matter expert typically dealing with more complex issues as they relate to the SMF group. The Security Master File Supervisor must ensure that all deadlines are met, and all daily workflows are completed accurately. These activities include security entry instruction, verification, processing, and quality control.

Key responsibilities include:
People Management

Understand competencies required for successful job performance and use knowledge to coach and develop team members as well as to identify training needs.

Ensure employees have the information and tools necessary to succeed and progress.

Consistently provide employees with constructive and timely feedback, both positive and negative.

Write and deliver mid-year and year-end performance evaluations.

Meet with direct reports on a one-on-one basis on a regular schedule.

Assign responsibility based on expertise and strengths of team members.

Ensure succession plans are in place for Lead SMF Specialist and SMF Supervisor.
Risk Management
-
Assist management in ensuring proper product delivery, proper escalation, and resolution of high exposure items, maintaining the proper balance of cost, control, and client service (3 C’s), and maintaining proper standards and controls.

Review E&O situations and look for corrective action.

Communicate professionally and constructively to effectively resolve issues to minimize risk and exposure.

Ensure all new processes are implemented with detailed procedures and that any changes to existing processes are relayed to the appropriate parties.
Quality Assurance
-
Ensure daily output standards, both quality and timeliness, are met.

Ensure adherence to all established policies, procedures, and controls.

Monitor all aspects of the SMF: daily workflows, daily volumes, staffing issues, overtime, etc.

Identify and resolve workflow issues.

Ensure that all SMF specialists are completing quality control responsibilities in an accurate and timely manner.
Process Improvement

Challenge all processes, procedures, and practices.

Assist management in the implementation of policies, procedures, and controls.

Motivate staff to identify weaknesses in current processes and come up with possible remedies for these weaknesses.
Other
-
Build relationships at all levels and throughout all lines of business within the organization.

Manage several projects efficiently despite resource and time constraints.

Assist in the development and production of management reporting.
Desired Qualifications:

BA/BS degree or equivalent job experience
-
4+ years of industry experience
-
1+ years of supervisory experience is a plus
