Position Description

Retail Operations Specialist is responsible for providing cross-functional support across all business areas within Retail Operations - Customer Service Doc Fund Book and Collateral Administration. The Operations team is responsible for the initiation and administration of, detailed documentation, funding and post-closing servicing on transportation, construction, coach, and related equipment transactions. The Operations team supports dealers, end-users of equipment, and internal employees by providing timely documentation, funding, security perfection services, title tracking and releases, insurance tracking, contract file management, customer account billing services, and a host of additional contract maintenance-related services. In this role, you will create a best-in-class customer experience by ensuring positive and flawless customers with VFS.

RESPONSIBILITIES
  • Manage and audit documentation preparation and execution, including communications with dealers, customers, District Finance Manager’s, and legal counsel. Ensure accuracy and sufficiency of all contract package submissions. Track and follow-up on any missing items ensuring documentation packages are ready for funding in a timely manner.
  • Approach the position with a continuous improvement mindset, identifying areas for improvement and contributing to the implementation of improvements.
  • Record all retail financing transactions in the contract management system for prompt and accurate invoicing to the customer.
  • Manage and proactively support incoming voice, email and chat contacts from Internal and External customers by providing a superior level of service as well as a proactive and educational approach to industry issues and concerns.
  • Positively influence Customer Experience by resolving all customer contract inquiries, including but not limited to, billing, payment, contract/asset payoff and termination requests, with a high level of urgency and accuracy.
  • Assist with completing various Contract and Asset management tasks relating to, Insurance, Titles, UCC and Contract file management required to complete each transaction.
  • Assist in the perfection of security interest and/or titling for all collateral, including insurance verification and Article 9 requirements.
  • Assist in training any related parties on all requirements within Retail Operations.
  • Actively participate as a member of a cross-functional team while also developing close relationships with internal functional areas to gain a detailed understanding of their processes and procedures and how they relate and influence the overall Customer Experience. These areas will include risk management, legal, credit, sales & marketing, insurance, and accounting.
  • Participate in defining the business requirements for designing and testing a state-of-the-art system to streamline the deal flow process and maximize turnaround times.
  • Assist in developing procedures and related training materials to ensure all Retail Operations areas are operating effectively, while in compliance with all VFS policies and guidelines.
  • Assist Legal Counsel in identifying opportunities to streamline our documentation packages without sacrificing our security interest in the equipment, or the enforceability of the documents.
  • Assist with completing pre- and post-booking audits of existing contracts to ensure all documentation is complete and properly executed.
  • Assist other VFS areas with risk analysis for existing accounts in need of modification and/or workout.
  • Be a model for The Volvo Way and ensure The Code of Conduct is being followed.
Education and Experience
  • BA or BS in business or related field or equivalent experience.
  • 3 or more years progressive sales/customer service/loan or lease operations experience in the finance industry, preferably with heavy equipment.
  • Credit, accounting, and pricing knowledge and experience is a plus.
  • Experience managing customer issues including proactive problem solving, research and analysis with a focus on win-win solutions.
  • Proven organizational skills with the ability to prioritize work and effectively work on multiple tasks in a fast paced, demanding environment.
  • Experience working in a professional environment where sound business judgment, attention to detail, a fast pace and a flexible and adaptable approach are valued.
  • Demonstrated high level of integrity, energy, and a positive customer and quality focus with ability to work within a team environment.
  • Proven written, verbal, and interpersonal communication skills.
  • Fluency in reading, writing and speaking English; additional languages a plus. Prior captive equipment finance and leasing company experience preferred.
