Job description

The Reservations Coordinator processes group reservation information including rooming lists, suites, resumes and billing requirements. Communicates and verifies information between Meeting Planners, Housing Bureaus, Meetings and Conventions and Front Office.

Qualifications for Reservations Agent

Must have:

  • Knowledge in OnQ and R&I
  • 1 year of hotel Front Office, Reservations or Revenue experience
  • Strong Computer skills (Microsoft)
  • Professional presentation
  • Good communication skills and fluency in English
  • Ability to work with maximum accuracy
  • Efficiency and attention to detail, maintaining a keen sense of urgency at all times.
  • Strong organizational skills and demonstrated ability to multi-task and prioritize in a fast-paced work environment, must be self-directed, motivated and demonstrate exceptional customer service and interpersonal skills.
  • Excellent ability to communicate clearly, concisely, and openly in all interactions.
  • Ability to actively demonstrate initiative in job performance, including anticipating what needs to be done before it becomes a necessity.
  • Excels in a team environment.
  • The ability to maintain confidentiality of information and exercise discretion
  • Audits OnQ PM for reservations accuracy. Looks for special requests, coding issues and billing requirements. Performs Group Master set up and all essential functions.
  • Answers all reservations telephone calls and emails in a friendly manner, using clear English communication. When processing emails or listening to callers, ensures a clear understanding of their inquiries and requests. Promptly provides accurate information regarding availability of accommodations and other requested information. Assists other departments such as Sales, Meetings and Conventions and Front Office with reservation related questions.
  • Reviews group pick up, assist in ensuring proper availability. Monitors and charges No Shows and Late Cancels daily.
  • Processes all group blocks and contracts from the sales department. Obtains data from various sources, including but not limited to faxes, electronic messages and handwritten lists. Effectively enters all group blocks into reservation computer system and verifies correctness of data entered against the data received. Sets inventory controls or host blocks for each group. Follows up with the sales department regarding all questions that stem from groups. Monitors group blocks after they have been entered into computer system.
  • Reviews and audits third parties and consolidates.
  • Assists management by booking transient reservations.
  • Maintains suite reservation request process and inventory controls for all suites and other room accommodations, as needed, to maximize revenue and meet customer needs.

Due to cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel.

SUPPORTIVE FUNCTIONS

In addition to performance of the essentialfunctions, this positionmay be required to perform a combination of the following supportive functions, with the percentage of time performingeach function to be solely determinedby the supervisor based upon the particular requirements of the company.

  • Perform other duties as directed by the Director of Revenue, Director of Front Office, or the Revenue Manager.
  • Assist with Front Desk Operations as needed.
  • Initiate and prepare reports as needed.
  • Assist in other administrative duties as needed.
