Reporting to the Records Center Manager, the Records Center Specialist is responsible for assisting with the daily operations at the College’s designated record storage facilities.
Primary Duties and Responsibilities
Essential Performance Requirements
  • Processes incoming records for storage, including conducting an inventory, boxing or packaging, labeling, and placement in the appropriate storage location
  • Processes outgoing records for transfer, delivery, disposal, and final disposition, including reviewing requests to determine appropriate action and documenting required approvals
  • Performs digitization of record materials using provided computerized systems, determining the appropriate method based on an assessment of materials
  • Determines confidentiality of records and sensitive information, maintaining appropriate security, confirmation of proper release or disposal, and ascertaining the appropriate method and location for storage
  • Assists coworkers at the College’s record storage facilities in maintaining proper care, handling, storage, and confidentiality of records
  • Interacts closely with customers to provide record services, including completing requests and providing guidance on best practices regarding records management
  • Utilizes a TCCD vehicle to transport records to and from campus and storage facilities, ensuring the security and integrity of records materials
  • Performs administrative duties, such as, but not limited to, answering telephones, processing mail, and compiling work activity reports


General Supervision and Management
  • Indirectly supervises lower-level staff
  • Provides lower-level staff with on-the-job training

Service Excellence
  • Participates on behalf of the College in external community organizations and associations as assigned to support the essential performance requirements
  • Attends the workplace regularly, reports to work punctually, and follows a work schedule to keep up with the demands of the worksite
  • Completes all required training and professional development sessions sponsored through Tarrant County College (TCC)
  • Supports the values of the College: diversity, teaching excellence, student success, innovation, and creativity and service to the College
  • Supports the mission, values and 3 goals and 8 principles of the College

Supervision
Works under the general supervision of the Records Center Manager

  • Performs Other Related Tasks as Required

Required Minimum Qualifications
  • Associate’s degree or 60 college hours and one (1) year working experience related to the Essential Performance Requirements; or any equivalent combination of education, training, certification, and work-related experience
  • Valid Texas Driver License with an acceptable driving record
Preferred Qualifications
  • Bachelor’s degree in Archives, Library Science, Information Technology, or Records and Information Management
  • Supervisory experience (e.g., leading processes and subordinate staff)
Knowledge, Skills and Abilities
  • Knowledge of basic recordkeeping methodologies and systems
  • Skilled in excellent customer service and interpersonal skills with diverse populations, including strong listening, verbal, and written communication
  • Skilled using computer applications and enterprise systems, including the Microsoft Office suite
  • Ability to work effectively in a collaborative environment and a setting that is diverse and urban
  • Ability to think critically to effectively solve and communicate problems in a fast-paced environment where the demands for work are varied, and unpredictable in scope and volume
  • Ability to analyze data and provide sound recommendations based on policy, procedure, practice, and existing regulations
  • Ability to delegate work appropriately to faculty and staff to meet College and campus deliverables
