We are looking for an enthusiastic, friendly, and customer-oriented Clinic Receptionist to join our administrative team at Whole Child Therapy. This is a full-time opportunity at our clinic in Claremont, CA.
We are looking for someone that is bilingual (Spanish), experienced in administrative duties, able to provide friendly and professional customer service over the phone and in person, and proficient with common computer programs. The ability to multi-task, pay close attention to detail, interact well with patients, parents, and staff, and function in a fast-paced environment is essential!

About Us
Whole Child Therapy, Inc. is a pediatric therapy clinic owned and operated by a husband and wife occupational therapist couple, Dennis and Ina Necesito. We are based in the beautiful college town of Claremont, California. We opened our clinic doors in May 2018 with Dennis starting out as the sole employee. Today, Whole Child Therapy, Inc. has an amazing staff of over 50 members, including full-time and part-time therapists, therapy assistants, and office staff.
Our core services include pediatric occupational therapy and speech therapy. Our specialty programs include feeding therapy, assistive technology and Augmentative Alternative Communication (AAC) services, and social skills programs. We serve children and their families at our clinic in Claremont, CA and in their homes in the surrounding areas in Southern California. We also serve students in several public school districts, charter schools, and non-public schools.

Job Responsibilities
- Maintain open and effective communication with therapists, office staff, and management; communicate concerns immediately and participate in identifying positive solutions.
- Greet and check in patients upon presentation to clinic in a friendly and professional way.
- Manage incoming phone calls courteously and professionally.
- Register patients for appointments, including demographic information verification, insurance coverage verification, and co-pay /deductible collection.
- Coordinate and manage therapist schedules verbally and through EMR software.
- Monitors appointments, patient flow, patient intake information and medical record charting system.
- Distribute incoming faxes and mail to appropriate personnel.
- Assist in tracking patient visits, and coordinate submission of appropriate clinical documentation for referral updates.
- Accurately document all patient scheduling, insurance, financial, and/or referral problems and concerns.
- Act as a liaison between patient families and our billing company to resolve issues/discrepancies in accounts.
- Manage patient/parent/caregiver concerns, complaints and/or issues appropriately and professionally.
- Collect client payments in accordance with payment due dates.
- Understand Insurance benefits and communicate financial responsibility to families.
- Respond in a timely manner to resolve patient complaints and/or employee conflict, promoting positive customer service
- Support the front office coordinator in tracking patient visits, and coordinate submission of appropriate clinical documentation for referral updates.
- Accurately document all patient scheduling, insurance, financial, and/or referral problems and concerns.
- Assist with clinic marketing activities and organizing outside promotional events.
- Participate in office staff meetings and complete assigned tasks
- Maintain office and clinical supplies and equipment.
- Coordinate maintenance and upkeep of clinic facility as needed.
- Participate in daily opening and closing routines.
- Participate in assigned committee meetings and projects.
- Support management in daily tasks and projects as necessary.
- Participate in regular management meetings and complete projects as assigned.
- Maintain strictest confidentiality of patient sensitive information.
- Represent clinic with highest standard of customer service excellence, compassion, and professionalism.
Job Type: Full-time
Pay: $16.00 - $19.00 per hour
