Job description
Reporting to the Human Resources Generalist, the Receptionist is primarily responsible for greeting visitors and delivering exceptional customer service assistance. This entails answering calls and fielding them, accordingly, addressing visitor questions and needs, and providing an overall welcoming environment. This oftentimes includes performing ad hoc administrative duties as needed.
Essential Functions:
- Answer phones, greet customers, and assist or direct as needed to ensure customers are served in a friendly and prompt manner.
- Maintain reception area and all common areas in a clean and tidy manner at all times.
- Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer.
- Keep detailed and accurate records of visitor requests and of calls received.
- Ensure sign-in and security procedures are followed.
- Direct and communicate for incoming deliveries and pickups from vendors.
- Receive deliveries; sort and distribute incoming mail.
- Assist with mail processing and sorting daily mail.
- Ensure outgoing mail is picked up daily.
- Notify recipients of package delivery and ensure timely pick up. Keep package delivery area organized and presentable.
- Provide administrative support on assigned tasks and projects.
- Provide administrative support such as meal coordination, meeting room scheduling, meeting, and event support, oversee resource calendars, maintain essential data in our project database, process mail and overnight shipments, run errands, and submit office purchases.
- Edit, proofread, and distribute documents, letters, reports, spreadsheets, contract documents, and other written materials with a strong focus on quality and detail.
- Complete opening and closing duties, such as, sanitizing of surfaces, coffee station preparation, turning lights on/off, unlocking/locking of entrances, and general housekeeping of the front office.
Expected Hours of Work
- Full Time
- Monday through Friday 7AM to 4PM
