Responsibilities:

PRIMARY PURPOSE:

As a Purchasing Clerk, you will be responsible for the day-to-day administration and accounting related to the successful procurement of supplies, raw goods, and services. All duties are to be performed in accordance with federal, state, local laws, regulations, and ordinances, as well as department and Company policies, practices, and procedures.


PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Answer multiple phone lines and direct telephone calls and messages
  • Process and receive incoming and outgoing requests for materials, prepare orders, keep track of purchases and supplies and handle inquires related to purchase orders using computerize ordering systems
  • Respond to customer and supplier inquiries about order status, changes, or cancellations.
  • Monitor inventory, perform buying duties when necessary, and contact suppliers to schedule or expediate orders
  • Invoices, receives, and maintains inventory system controls, including faxes and shipping and mailing requests
  • Communicate and coordinate purchasing vendor updates to departments and its management
  • Follow up on accounts payable inquiries and ensure all orders are billed to the correct department Process, establish and maintain a vendor profile system for purchase requisitions and products and materials
  • Process monthly financial / ordering reports as necessary
  • Recognizes new/additional work opportunities for the company and/or more efficient ways of accomplishing assigned tasks, and report to Finance and or I/C manager
  • Drive/Operate various types of company vehicles such as vans or cars for administrative duties if necessary
  • Perform other job-related duties as requested
Qualifications:

MINIMUM REQUIREMENTS:

  • High school diploma or equivalent
  • Work varied shifts, to include weekends and holidays

PREFERRED:

  • Two (2) years of experience with multi-line telephones e Two (2) years of bookkeeping/billing experience (Stratton Warren/Coupa) o Two (2) years of administrative experience
  • Bilingual, English as the primary or secondary language
  • Experience working in a similar resort setting and multiple department inquiries
