Position Summary
The Office of Academic Affairs, supports all faculty and researchers at the Columbia University Irving Medical Center. This includes onboarding, promotion and tenure, faculty professional development, retirement and much more.
Working closely with the Vice Dean for Academic Affairs, the AVP for Faculty Professional Development, Diversity and Inclusion, the Senior Director of Faculty Affairs, the Promotions Specialist is responsible for managing the process in collaboration with the departments, soliciting referee letters, and other key aspects of the tenure process for faculty who are under review for tenure. Working closely with the Provost Office, the Office of Academic Affairs, departments, and the Dean’s Office, the promotions specialist collects and coordinates tenure dossier materials and ensures timely and proper communication between offices about workflow. The Promotions Specialist also partners with the Office of Development to support the creation and dissemination of professorship letters. They will also work with the AVP for Faculty Professional Development, Diversity and Inclusion on supporting special faculty related projects
Responsibilities
Tenure Dossiers:
Works with departments, the Office of Faculty Affairs, and the Provost’s Office, on managing tenure dossier materials for faculty who are under review for Tenure. The Promotions Specialist reviews referee lists for conflicts, solicits and tracks referee letters, manages reminders, and solicits data from departments and candidates for tenure dossiers.
Special Projects:
Provides support on special projects as assigned by the Vice Dean and the Executive Director of Professional Development, Diversity & Inclusion such as supporting professional development and DEI programs, the Faculty Senate elections, supporting projects, and others.
Professorships:
Provides support for the creation of and dissemination of professorship letters. Reviews conditions and terms of gifts to ensure that letters accurately reflect the stipulations of the donors. Works closely with departments, Development Office, Dean’s Office, Provost’s Office and Faculty Affairs to adhere to deadlines and proper workflow.
Other duties as assigned.
Minimum Qualifications
Bachelor’s degree or equivalent in education and experience required. Minimum of five years related experience required.

- Proven ability to work on confidential, complex, time sensitive projects independently with limited direction, and ability to meet critical deadlines.
- Demonstrated acute attention to detail, critical thinking and judgment, as evidenced by minimal errors in reviewing forms, correspondence, and reports.
- Ability to effectively communicate verbally and in writing.
- Ability to effectively work in teams.
- Experience with Microsoft Office (Outlook, Word, Excel, etc.) and Adobe Acrobat.
- Experience with Microsoft Teams and Zoom.

Preferred Qualifications
- Prior experience with academic health centers, faculty affairs, promotions, and/or HR a plus.
- Proficiency with Excel and experience managing large data sets..
- Demonstrated understanding of concepts related to appointment, promotion and tenure processes.
- Master’s degree in a related field preferred. Some graduate study a plus.
