Organizational Overview
Brookhaven National Laboratory's Advanced Technology Research Office (ATRO) is a global leader in accelerator, detector, superconductor, and related technologies. It provides unique expertise and capabilities for R&D to advance initiatives for Brookhaven, the U.S. Department of Energy, its Office of Science and National Nuclear Security Agency, NASA, industry, and other strategic partners.
The Office of Project Management and Engineering (OPME), within ATRO, provides project management expertise to ongoing and future projects and ensures engineering best practices are adopted across organizations within the Advanced Technology Research Office (ATRO). In addition, the Office of Project Management and Engineering supports other BNL divisions by supplying skilled engineering and design expertise to projects as well as other ongoing initiatives.
Position Description
The Office of Project Management and Engineering has an opening for an Administrative Assistant (Project Management Assistant) to support projects that are in the planning and execution phase. The successful candidate will work with project team members to document activities that have a defined scope, cost and schedule. The scope of work includes developing project plans and policies for large, medium and small projects as well as aspects of operations that require detailed planning. The successful candidate will also be expected to generate and maintain technical documentation including but not limited to mechanical/electrical drawings, specifications and procedures.
Essential Duties and Responsibilities:
- Work with seasoned project managers/administrators to document plans, strategies and policies that are to be followed during the planning and execution phases of a project life-cycle as well as in operations.
- Generate cost reports based on monthly actuals provided by the ATRO Business Office
- Analyze project performance data for reporting purposes
- Work closely with BNL Project Controls staff for the purpose of generating and maintaining accurate project performance data.
- Maintain configuration management/control of project documentation in a SharePoint and Vault/Windchill environment.
- Participate in Change Management processes
Position Requirements
Required Knowledge, Skills, and Abilities:
- A minimum of four years relevant work experience performing administrative functions
- A bachelor’s degree in a business or related field, with coursework or training, specifically related to the position requirements may offset qualifying experience on a basis of 2:1 (experience:college) years, as would an associate degree with a minimum of two years related experience.
- Excellent verbal and written communication skills
- Excellent organization and time management skills
- Excellent data management skills
- Ability to work independently, have a desire and ability to learn new systems, make informed decisions and regularly exercise a high degree of discretion.
- Working knowledge of Microsoft Office tools such as Excel, Word and PowerPoint.
Preferred Knowledge, Skills, and Abilities:
- Some working knowledge of DOE 413.3B best practices
- Working knowledge of MS Project or Primavera P6
- Advanced software proficiency using Microsoft Office products such as Excel and Visio.
- Experience developing collaborative work environments in Microsoft SharePoint.
- The ability to create and/or edit technical drawings and 3D models using software tools such as Inventor, AutoCAD and PTC CREO.
