Beacon Hill Associates is assisting a top client in their search for an Administrative Support Specialist to provide general administrative and office support for company projects. The successful candidate will be responsible for maintaining project files, managing project emails, performing data entry for document control, tracking projects and producing progress reports, and assisting with various administrative tasks. The role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently.

Responsibilities:

  • Maintain project files and project email inbox
  • Perform data entry for document control
  • Track projects and generate monthly progress reports
  • Assist with reviewing and finalizing project specifications and changes
  • Research information and respond to project-related inquiries
  • Maintain project tracking system and record minutes from meetings
  • Answer and direct phone calls, sort incoming mail
  • Collect and process bills/invoices
  • Prepare memos, correspondence, reports, and other documents
  • Make travel arrangements and handle outgoing mailings
  • Organize and maintain filing system
  • Coordinate client/vendor lunches and conference room reservations
  • Collaborate with internal support departments
  • Manage department calendar and roster
  • Provide occasional project assistance to managers
  • Assist in creating PowerPoint presentations
  • Utilize Access to store and retrieve data
  • Coordinate clerical needs for special projects
  • Complete weekly timecards
  • Make copies of printed materials

Top Three Daily Tasks:


  • Manage project/team calendars (10-15 at a time)
  • Format and merge multiple teams' proposals using Microsoft Word
  • Assemble PDF documents and work with Adobe Booksaver


Candidate Qualifications:

  • High School degree or equivalent
  • Minimum two years of office/clerical experience
  • Advanced knowledge of Microsoft Word, Excel, Access, and PowerPoint
  • Excellent organizational skills and attention to detail
  • Strong communication skills
  • Ability to handle multiple tasks and meet deadlines
  • Preferred industry background experience: Construction, Engineering, Law, Architecture, or military-related fields
  • Some college coursework is preferred
