The School of Educational Studies engages students in the study of Education through undergraduate majors and minors, post-baccalaureate teacher certification programs, graduate degree programs, and professional development programs for practicing educators.

RESPONSIBILITIES:

Academic and Human Resources Support

  • Hold the HCM Initiate 2 role in Workday: Create positions and job requisitions; initiate hires and job changes; input compensation changes and job data changes; initiate and update academic appointments; run reports and prepare for payroll deadlines.

  • Coordinate academic HR paperwork, including drafting offer letters and other correspondence for SES Dean’s approval, and route forms for approval via Docusign. Facilitate background checks as required.

  • Organize documentation in Interfolio and maintain academic human resource files.

  • Support new part- and full-time faculty onboarding and orientation, including I-9 coordination.

  • Assist with faculty appointment and review processes, including communicating with faculty regarding requirements and deadlines, gathering required appointment materials, preparing online sites for faculty review/voting, and processing materials for Academic HR.

  • Provide support for searches, including collation and distribution of application materials to search committees, scheduling of interviews, coordination of travel, accommodations, room reservations, and itineraries, advertisement of research and teaching presentations, and assistance in processing notifications to applicants.

  • SES field instructor coordination support.

  • Coordinate student employment (Graders/TA’s) with campus payroll.

  • Assist with other faculty forms and processes as needed.


  • Fiscal Processes

  • Reconcile expenditures on program budgets on a monthly basis for review. Submit expense transfers and journal vouchers as needed. Collect and maintain the appropriate budget reconciliation documentation in accordance with the records retention schedule.

  • Coordinate faculty and staff reimbursements and travel reimbursements. Act as the Shared Services point person for the school. Communicate with faculty and staff regarding compliance and reimbursement requirements. Compile and submit reimbursement and travel reimbursement requests to Shared Services.

  • Process payment of invoices and assist with faculty procurement needs. Reconcile procurement card monthly for review.

  • Track faculty and staff startup and professional development funding and report on that information as needed.

  • Develop and maintain SES shared resource materials related to school and campus fiscal processes.


  • Program and Operations Support

  • Coordinate quarterly teaching support tasks such as instruction evaluations and course syllabi collection, as needed.

  • Advisory Boards (PEAB) meeting support.

  • Process Academy payments.

  • Records Management coordination and file migration support. Post and maintain records and instructions in SES shared resource locations.

  • Facilitate access to campus locations; assist Administrator with office reconfigurations and moves.

  • Provide reception desk support in absence of the Office Assistant III and Student Assistant(s), including scheduling of academic advising appointments.

  • Orientation and training of new employees, as needed.

  • Other duties as assigned.


  • MINIMUM REQUIREMENTS:

  • High school graduation or equivalent AND two years of experience in office administration, HR and/or fiscal related work OR equivalent education/experience.


  • ADDITIONAL REQUIREMENTS:

  • Administrative support experience, including human resource and fiscal responsibilities.

  • Strong organizational skills and the ability to work independently on numerous and diverse tasks and to make critical decisions at an appropriate level.

  • Self-starter with proven ability to work in a high-volume environment with multiple deadlines, while maintaining a high degree of accuracy and attention to detail.

  • Ability to work well in a team setting and cross train on essential department tasks.

  • Strong interpersonal, written, and oral communication skills.

  • Demonstrated ability to form and maintain productive working relationships with faculty, staff, and students from diverse backgrounds.

  • Familiarity with standard computer software applications for word processing, spreadsheets, and database/web systems.


  • DESIRED:

  • Bachelor’s degree in related field.

  • Experience with UW systems (Workday, MyFD, Ariba).

  • Working knowledge of UW policies and procedures.

  • Experience and familiarity with academic programs in a university setting.


  • WORKING CONDITIONS:

  • This position has the potential for a hybrid remote work schedule.
