The primary purpose of the Grant Program Coordinator (GPC) position is to provide support for the overall grants and contracts process and to serves as a resource for HDR faculty and research staff who participate in the grants and contracts process (total 75%). Additionally, this position will provide back up support to the AA, Sr. AA by organizing and coordinating assigned activities and perform varying and extensive complex administrative duties (total 25%). The position requires judgment, responsiveness, initiative, and independent decision-making while demonstrating excellent interpersonal and communication skills in and outside the department.

JOB SPECIFIC COMPETENCIES 50% - Pre-Award Grant and Contracts Proposal Submissions
  • Supports administrative planning for grants and contracts submission initiatives, including working with all HDR principal investigators and postdoctoral trainees and/or their designee, following established departmental procedures.
  • Coordinates the submission and review process by performing quality check on all grants and contracts submissions (against sponsor instructions) to ensure formatting, budgeting and other components are accurate, following established departmental procedures.
  • Updates relevant departmental records and reports as needed, following established departmental procedures.

25% - Post-Award, Progress Report Submissions

  • Supports administrative planning as requested for HDR grant and contract progress reports, to include working with all HDR principal investigators and postdoctoral trainees and/or their designee following established departmental procedures.

  • Engage in the submission/review process by performing a quality check on all progress reports (against agency instructions) to ensure formatting, budgeting and other components are accurate following established departmental procedures.

  • Update relevant departmental records and reports as needed following established departmental procedures.

  • Performs monthly reconciliation for HDR funds and projects following established departmental procedures, as well as adhering to established deadlines. Acts as the backup statistical sample coordinator.

  • Manages the backup documentation files for financial reconciliation and maintains the HDR chartfield string spreadsheet.

25% - Administrative functions (as needed)
  • Arranges meetings for faculty and general departmental meetings, including booking rooms, catering, and reserving equipment.
  • Processes conference registration for faculty and their staff including travel and reimbursement.
  • Assists with coordinating space, equipment and training for new hires into the department. Meets new hires onsite to obtaining computer equipment, office key and requesting badge access for all new hires.
  • Assists with the coordination of departmental activities (holiday events) and routine meetings (routine department, faculty, project manager and support staff meetings).
  • Assists with all procurement for the department. Orders general supplies for the department and assures adequate office and kitchen supplies are stocked at all times.

EDUCATION:
Required: Bachelor's degree.

EXPERIENCE:
Required: Three years of extensive administrative experience. May substitute required education degree with additional years of equivalent experience on a one to one year basis. With preferred degree, one year of experience required.
