Organizes & coordinates program activities of the Printing Services Section (PSS) within the Ohio Department of Public Safety (ODPS) (e.g., Monitors & analyzes unit activities; establishes project priorities; assigns projects to staff; schedules tasks & ensures deadlines are met; reviews projects for quality, productivity, standardization & accountability, etc.); Supervises Electronic Design Coordinators assigned to section (e.g., processes payroll, counsels employees, conducts performance reviews, resolves conflicts &/or recommends appropriate disciplinary actions, ensures subordinates are properly trained in order to maintain acceptable employee performance, enforces section policies & procedures, conducts staff meetings, transmits information concerning operations, etc.); Monitors & assists staff to ensure that all form designs, layouts, &/or functionality are utilized using Adobe InDesign &/or Acrobat Pro, Microsoft (MS) Word &/or Excel to write codes, Macros, formulas, or embed mathematical equations for documents requiring automatic updates &/or calculations (e.g., research various Macro functions & apply proper techniques based on the customer's form requirements; test & troubleshoot file to ensure all updates are working properly, etc.); Reviews & approves all new &/or updated printed materials (e.g., forms, templates, brochure publications, &/or mail pieces, etc.) for accuracy, cost effectiveness, conformity with law directives, ODPS policy & standards, &/or USPS Postal regulations; Resolves issues pertaining to defective printed materials; Researches & prepares specifications & cost estimates to bid printing projects (e.g., evaluates & approves specifications, bids & contracts for completeness, clarity & accuracy, etc.); Reviews & monitors print orders in Business Inventory Management System (BIMS) to confirm proper approvals &/or quantities are accurate; Monitors &/or troubleshoots Central Repository System (CRS) activity (e.g., new items, updates, files types, reports, usage, & issues, etc.) for ODPS customers; Reviews, approves, or denies business card & pocket card orders; Oversees updates with DAS and Vendor to ensure accuracy of business / pocket card templates; Oversees the tracking & updating of all translated documents & ensure English matches the translated documents; Serves as liaison between Department of Administrative Services (DAS) State Printing, vendors, managers, electronic design coordinators, subordinates, &/or other departmental staff to ensure timely, cost efficient, & professional print production; Confirm and approve all Requisitions through OAKS Fins and OhioBuy. Reconcile ISTV's for accuracy sending any discrepancies to ODPS Fiscal to reconcile.

Maintains unit's operating procedures (e.g., updates, prepares, & distributes information regarding unit operations, etc.); Maintains hard copy & electronic files (e.g., section logs, databases in support of business functions, etc.); Prepares reports based on analysis conducted (e.g., weekly, monthly, quarterly &/or annually); Assists in personnel interviews; Assists in budget preparation for the unit (e.g., monitors departmental printing costs & requisitions; coordinates procurement &/or corrections with DAS, USPS &/or ODPS Fiscal).

Assumes various responsibility of office functions in the absence of AO2; Handles sensitive confidential materials for all ODPS divisions; Responds to inquiries & complaints; Attends meetings with ODPS divisions; Researches & reviews data to keep current with technology (e.g., manuals, periodicals, & trade journals, etc.); Attends press checks, meetings &/or training to keep current with printing technologies &/or software; May be required to travel on state business; Performs other related duties as required.

Qualifications


Completion of undergraduate core program in business or public administration or closely related area.

  • Or 24 mos. exp. in administrative, management or supervisory position.
  • Or equivalent of Minimum Class Qualifications For Employment noted above.
