The City of Jersey City’s Human Resources Department is looking for a Personnel Aide. The Personnel Aide will be responsible for performing HR-related duties and working closely with other HR personnel and City Departments to support the Human Resources Department’s mission of creating a more productive, accountable, and engaged workforce for the City of Jersey City.
Job Duties:
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, and hiring processes.
- Maintains the integrity and confidentiality of human resource files and records.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately. Processes Department of Personnel personnel action forms Ensures the accuracy of the posting of all personnel actions on employee and/or positions cards, including reclassifications, changes in employee and position status, promotions, demotions, leaves of absence, and so forth. Aids employees in completing and processing forms and applications relating to recruitment and onboarding.
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, and hiring processes. Participates in the orientation of new employees providing information about salary, benefits, hours of work, leave allowances, location of employee services, and other general information relating to the City.
- Performs all other duties as assigned.

Preferred Educational Background: Bachelor’s degree in Human Resources Management, Labor Relations, Psychology, Business Administration, or a closely related field.
Preferred Experience: One(1) to two (2) years of progressive Human Resources experience related to the job duties detailed above.
Essential Skills:
- Maintains knowledge and understanding of laws and regulations related to human resources, labor relations, collective bargaining, and unions.
- Excellent organization, written, oral, and communications skills.
- Ability to plan, organize, and coordinate work in situations where numerous diverse demands are involved.
- Strong interpersonal skills with the ability to work collaboratively and foster positive and professional relationships.
- Exceptional analytical skills with the ability to prepare clear, sound, accurate, and informative conclusions and recommendations.
- Strong computer skills in MS Windows environment, including MS Office skills (Outlook, Word, Excel, & PowerPoint), and report preparation.
- Strong experience working with Applicant Tracking Systems and Employee Onboarding Softwares.
- Proven ability to establish and maintain effective working relationships with other City of Jersey City employees, public officials, and the general public.
