Payroll and Accounting Coordinator

Yu Ming Charter School is a non-profit, tuition-free network of public schools located in Oakland and San Leandro and open to all residents of California. Position Overview
The Payroll and Accounting Coordinator is responsible for payroll, human resources, and accounting tasks that support the accounting and human resources functions at Yu Ming. The Payroll and Accounting Coordinator reports to and is evaluated by the Business Manager.
Core Responsibilities
The following is a list of primary duties and responsibilities. Other duties to be assigned as needed.
Accounting
Accounts Payable
- Audit incoming invoices and other payment requests for appropriate coding and authorizations
- Enter purchasing payables into accounting system for payment processing
- Process cash and checks for bank deposits with accuracy and completeness
- Handle vendor communications, resolving any billing disputes
- Maintain vendor files, including contracts for services
- Provide sales tax exemption forms to vendors and obtain W-9 forms from vendors
- Assist with preparation of annual 1099s
Credit Cards
- Review credit card statements for proper coding
- Maintain support for credit card transactions following up with card users to ensure that documentation is received for each transaction
Parent Volunteers and Donations
- Track submission of volunteer required documents (e.g. insurance, TB testing, fingerprinting, etc.)
- Manage reimbursement requests and ensure alignment with FSO expense budget.
- Process and family donations to the school
Payroll
Payroll Processing
- Maintain employee records
- Process bi-weekly payroll and special payrolls, as required
- Process 401K remittance
- Assist employees with all issues related to payroll
- Ensure that employee benefit deductions are processed correctly
Human Resources
Employee Benefits
- Manages the benefits enrollment process including benefits changes, terminations, etc.
- Allocates and reconciles monthly benefits including health insurance, workers compensation, and unemployment compensation
- Liaise between insurance broker and employees for benefits related questions and issues
Onboarding
- Assists COO and Business Manager with onboarding new employees including entering information into the human resources module of the payroll system
- Assists Business Manager with fingerprinting new and established employees
Hiring
- Assists with interview schedule, scheduling interviews and sending pre-established communications to interview candidates under the direction of the COO
Administrative
- Creates employee personnel and medical files
- Creates HR job files
- Ensure all records are compliant with EEOC guidelines
- Archive HR documents per the record retention federal and state established regulations
- Filing of documents as needed
Professional Development
- Participates in continuing education and professional development and other training programs offered to increase skill and proficiency related to the assignment
- Participates in training required to understand systems used by the organization including accounting and payroll software
Performs other tasks and duties and assumes other responsibilities as may be assigned by the COO and Business Manager.
Qualifications & Desired Characteristics
- High school diploma
- Associate or Bachelor's degree in business-related field from an accredited institution is a plus
- Minimum of 1-3 years of experience in accounting, payroll, benefits administration and/or human resources
- 1-3 years of experience in a management or coordinator position preferred
- Excellent computer skills and current knowledge of G-Suite applications and Excel required
- Experience with payroll processing software (Paychex a plus)
- Experience with accounting software
- Must be highly organized with exceptional attention to detail and accuracy
- Excellent interpersonal skills
- Independent and innovative self-starter who can display an ability to learn rapidly and adapt quickly changing situations
- Ability to maintain confidentiality of sensitive information
- Ability to work under pressure to meet deadlines
- Ability to handle multiple tasks simultaneously
- Ability to work in a fast-paced environment
- Exceptional ability to work collaboratively and to provide excellent customer service to internal staff and external partners

Working Conditions
Work is generally sedentary and performed in an office environment. Requires the use of computers and other office equipment.

COMPENSATION
$65,000-$75,000 per year
