TITLE: Patient Registration Representative
DEPARTMENT: Patient Registration Services
FLSA: Non-Exempt

JOB SUMMARY:
Interviews incoming patients to obtain patient demographic and insurance information required for admissions to the hospital. Supports clinical staff with obtaining patient paperwork as needed. Operates hospital switchboard and responds to general inquiries.

QUALIFICATIONS:
Education/Training: High School diploma or equivalent.
Experience: No previous experience required. Previous related hospital experience a plus.
License/Registration: None required.

ESSENTIAL FUNCTIONS:
Planning and Prioritizing
1. Greets and admits all patients, families and visitors into the Emergency Department, Out Patient Services and Same Day Services.
2. Answers and routes incoming calls from hospital switchboard.
Information Gathering
3. Obtains consents for admission, treatment, and insurance billing purposes.
4. Pre-registers all Same Day Services and Out Patient Services patients as needed.
5. Communicates with other organizations to gather patient information that is needed prior to patient arrival.
6. Assists Patient Registration Services Director with verifying authorization information with insurance company for all In-Patient and Same Day Services, and Out Patient Services patients as needed.
7. Interviews patients to obtain accurate and necessary patient demographic and insurance information.
Decision-Making
8. Escorts patients to patient care areas following appropriate protocol.
9. Decides appropriateness of collecting co-pays for Emergency Department visits.
Communication
10. Communicates appropriately with patients, coworkers, physician offices as well as members of ancillary departments throughout the hospital and any other individual necessary to perform essential job functions.
11. Answers or sources patient inquiries to the appropriate party.
12. Maintains accurate records and documentation on mainframe computer system.
Technical Proficiency
13. Registers all referenced laboratory patients in a timely manner as needed.
14. Registers all patients quickly, efficiently, and accurately.
15. Keeps census and physician call schedule up to date.
16. Reconciles cash daily from the cash drawers and forwards to Patient Financial Services.
Teamwork
17. Assists Patient Registration Services Director with special projects or assignments as needed.
18. Assists billing office when necessary to mail out statements and initial billings.
19. Assists other hospital employees on faxing documents.
20. Assists other hospital staff when necessary.
21. Works with physician offices on gathering patient demographic and insurance information.
Quality
22. Generates accurate admitting records and distributes to appropriate departments.
23. Reviews and receipts payments on patient accounts.
24. Collects Emergency Department co-pays, and Out Patient Services and Same Day Services out of pocket estimates.
Outcomes
25. Participates in committees or task forces as requested or required.

26. Attends ongoing educational activities as necessary to acquire and maintain competency in admissions compliance by attending conferences, seminars and reading appropriate material.
27. Attends Patient Registration Services staff meetings.
Work Effectiveness
28. Prepares mail for dispatch.
29. Enters Emergency Department and Respiratory charges into the patient accounting system.
Reliability
30. Demonstrates promptness in reporting to work and compliance with meal and break schedules.
31. Completes requested information in a timely fashion.
32. Takes initiative to do other duties as needed.

33. Educates other staff members on status of patients, documentation and any other communications in their department’s control.

1. Faxes information as requested.
2. Requisitions supplies and forms.
3. Performs other non-essential functions as requested.

PHYSICAL DEMANDS:
Sitting: 50%. Standing/Walking: 50%.
Occasional lifting/carrying of supplies and equipment weighing up to 30 pounds.
Occasional pushing/pulling of wheelchairs weighing over 200 pounds.
Occasional climbing of stairs to reach other levels of the building.
Occasional stooping/kneeling to reach items on low shelves and to get into low cabinets.
Occasional reaching/handling to complete paperwork.
Frequent fingering to operate switchboard and computer.
Constant talking/hearing/seeing to interact with patients, staff and visitors.

ENVIRONMENTAL CONDITIONS:
Location: Inside.
Frequent exposure to noise may cause distraction.
Minimal risk of injury due to proximity of moving parts on computer printer, typewriter, and copier.
Minimal exposure to biohazardous materials.
Minimal exposure to drafts.
