Position Description:

We are seeking an experienced and detail-oriented Office Manager to join our team.

The ideal candidate should have strong organizational skills and a keen eye for detail, a respect for confidentiality of financial information, along with the ability to gather and validate information for office operations.

Responsibilities:

  • Manage accounts receivable (AR) and accounts payable (AP) processes, ensuring accurate and timely invoicing, payments, and collections.
  • Process payroll accurately and efficiently, including deductions, tax filings, and employee time tracking.
  • Assist with light HR duties, such as maintaining employee records, coordinating onboarding and offboarding activities, and managing employee benefits.
  • Monitor work in process (WIP) and collaborate with relevant departments to track project status, ensuring timely completion and accurate reporting.
  • Handle banking activities, including deposits, reconciliations, and account management.
  • Prepare and generate reports related to financial data, office activities, and performance indicators as required.
  • Support month-end closing procedures, including journal entries, account reconciliations, and financial statement preparation.
  • Maintain accurate and organized records, both physical and electronic, to ensure easy retrieval and compliance with regulations.
  • Proactively identify areas for process improvement and recommend and implement efficient solutions.
  • Collaborate with team members and external stakeholders to ensure smooth office operations and effective communication.

Requirements:

  • Proven experience in office management or a similar role, preferably in a fast-paced environment.
  • Strong understanding of accounts receivable (AR), accounts payable (AP), payroll, and general financial principles.
  • Proficiency in using accounting software and other relevant office tools, such as Microsoft Office Suite.
  • Familiarity with human resources practices and applicable employment laws.
  • Excellent attention to detail and accuracy, with the ability to gather and validate information effectively.
  • Exceptional organizational and multitasking skills, with the ability to prioritize and meet deadlines.
  • Strong communication skills, both written and verbal, to interact with internal and external stakeholders.
  • Ability to maintain confidentiality and handle sensitive information with integrity.
  • Self-motivated and able to work independently, as well as collaboratively within a team.

Pay: $45,000.00 - $55,000.00 per year
