Office Manager / Administrative Professional

Position Summary

Assist with the administrative duties and management of a portfolio of over 200 properties, primarily in Laguna Beach and nearby markets along the coast. Help with various aspects of running a boutique, community-focused property management company.

Employment Responsibilities:

  • Provides administrative support to ensure efficient operation of the office.
  • Answers phone calls, schedules service calls and interacts with visitors.
  • Carry out administrative duties such as filing, typing, scanning, copying, etc.
  • Exhibits polite and professional communication via phone, email, and mail.
  • Support team by performing tasks related to organization with strong communication and follow up.
  • Provide information by answering questions and requests.
  • Contribute to the overall team effort by helping with related functions as needed.
  • Manage tenant and property-owner service calls and coordination of service providers.
  • Processing of work orders using property management software and associated systems.
  • Handle proper processing of receivables, payables, security deposits, etc.
  • Coordinate with owner, accounting, leasing and others to ensure smooth daily operation.
  • Ensure a well-stocked and functional office.

Applicant Requirements

  • Advanced use of Microsoft Word and Excel.
  • Proficiency in use of accounting software.
  • Excellent written and verbal communication skills.
  • Ability to organize resources, including people, tools, and time to achieve results.
  • Consistent attention to detail and ability to identify discrepancies.
  • Personable, friendly and works well as a part of a small team.
  • Experience working in the property management field, comparable with the management of single family and multi-family residential properties, is a significant benefit.

Pay: $64,500.00 - $70,000.00 per year
