We are seeking a full-time, Spanish-speaking Office Assistant to join our Public Adjusting office team.

Major responsibilities include, but not limited to:
- Provide clerical support to ensure efficient operation of all departments.
- Professionally answer company phone, assist callers and/or transfer to appropriate team member or department as needed.
- Greet and assist clients and other visitors to the office while making them feel welcome and valuable.
- Sort, scan, upload and disseminate mail as well as emails and faxes to appropriate team member or department.
- Set up and confirm appointments with clients.
- Fax documents upon request.
- Prepare mailing labels and envelops.
- Upload and ensure files for mortgage processing are complete and in the proper phase folder.
- File claims with insurance companies.
- Maintain up-to-date and accurate information for each claim using client management software.
- Assist clients in completing documents requested by insurance companies.
- Maintain an organized office calendar and notifies staff of schedule and coordinate inspections, appraisals, mediations with public adjusters and insurance company representatives.
- Maintain office supplies and ensure that office is welcoming to all visitors.
- Support team by performing tasks related to organization.
- Completing other tasks as assigned.
QUALIFICATIONS
- High school diploma or equivalent.
- Outstanding customer service and al communication skills.
- Excellent organizational skills and ability to follow through on tasks.
- Willingness to jump in and assist when needed.
- Must be able to multitask as well as be reliable and responsible.
- Must be comfortable handling a large volume workload and working in fast paced environment.
- Working knowledge of Microsoft Suite (Excel, Word, etc.).
- Extremely accurate with high attention to detail.
- Dependable, prompt, and professional.
- Must have own reliable vehicle.
- Bi-lingual—English required, Spanish a plus.
- Authorized to work in the US.
