Mass Coastal Railroad in Lakeville, MA, is a growing business seeking an individual with previous office experience who is willing to learn and grow with us! The Office Assistant’s position is a newly created full-time, benefited position with potential for upward mobility. We offer a great, casual working environment.

Shift: Days, Monday-Friday

Pay Rate: $24/hour

Job Summary


The incumbent will assist the Controller with financial services such as billing, accounts receivable, correspondence and reports, and other financial services tasks. The Office Assistant will also provide timely administration of flagging services for the Roadmaster, as well as provide office assistance to other departments of the central office, such as Engineering, Safety and Compliance, and Human Resources, just to name a few.


Responsibilities


  • Assist in billing, accounts receivable, and various internal and external electronic forms completion and submittal.
  • Work independently in addressing complex tasks in a time sensitive environment
  • Prepare correspondence and reports utilizing Microsoft Word and Excel.
  • Perform accounts payable and receivables tasks on Sage 50/Peachtree software.
  • Make recommendations for streamlining work-flow processes.
  • Review information and inform Controller of discrepancies and/or inconsistencies in financials and/or other business records and/or documents.
  • Answer telephone calls and respond or route accordingly.
  • Receive and respond to emails for flagging services.
  • Schedule railroad flaggers by following pre-established work flow procedures.
  • Prepare and/or complete Agreements for Provision of Flagging Services for contractors by entering information using a pre-established template.
  • Ensure accuracy and full completion of all documents sent and received.
  • Ensure insurance is on record for contractors.
  • Assist other departments of the main office such as Engineering, Safety and Compliance, and Human Resources, just to name a few, with administrative tasks as needed.
  • Other duties as assigned.

Qualifications


  • 2 years of professional office experience.
  • Ability to work independently with minimal supervision.
  • Dependable, reliable, flexible, highly organized, detail-oriented, with strong office, communication (verbal and written), data entry, and follow-up skills.
  • Demonstrated team work and problem-solving abilities.
  • Advanced Microsoft Word & Excel skills preferred.
  • Peachtree/Sage and or QuickBooks Experience desirable, but not necessary
  • HS Diploma or equivalent required.
