Job Summary


This position provides administrative support to the Human Resources Department at Dakota County Technical College and Inver Hills Community College by assisting with a variety of Human Resources tasks.

Job duties include:

  • Coordinate the daily activities of and provide administrative support to the Human Resources Department and assist in ensuring the department is functioning efficiently and effectively.
  • Coordinate the Human Resources office front desk operations and act as the first point of contact so that management, faculty, staff, job candidates, and the general public receive prompt, courteous, and accurate responses and/or their requests are escalated to the appropriate personnel in a timely manner.
  • Manage employee and Human Resources Department files.
  • Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner.

Qualifications

Minimum Qualifications

  • One year of administrative support experience with clerical practices and procedures sufficient to maintain personnel and office files, records, and forms.
  • Skill in using electronic email, spreadsheets, databases, word processing software sufficient to independently manage documents, files, and data, and create/format a variety of letters, forms, reports, presentations, and informational packets.
  • Knowledge of English sufficient to research, write, prepare, and edit correspondence and materials using correct spelling, punctuation, grammar, and sentence structure.
  • Verbal and written communication skills sufficient to understand and effectively carry out oral and written directions.
  • Customer service skills sufficient to provide information with tact and diplomacy and interpret and explain complicated information in a courteous, profession, and understandable manner to diverse populations.
  • Ability to identify issues and analyze/evaluate, research, develop, and make recommendations and/or implement new, revised, or improved administrative practices and procedures for smooth and efficient office operations.
  • Basic math skills sufficient to add, subtract, multiply, divide whole numbers, fractions, and decimals; calculate percentages and averages; use simple formulas.
  • Knowledge of data privacy laws and rules, such as the MN Data Practices Act, sufficient to describe the differences in public and private information and maintain the confidentiality of private information according to laws and rules.
  • Ability to organize and prioritize work sufficient to meet multiple demands and deadlines.
  • Strong attention to detail sufficient to provide accurate information and/or perform data entry accurately.
  • Ability to work constructively and harmoniously with team members.

Preferred Qualifications

  • One or more years of human resources experience processing payroll or HR transactions (hires, separations, data changes) or administrating employee benefit programs or similar work.
  • Experience using Human Resources Information Systems (HRIS) and Applicant Tracking Systems.
  • Knowledge of Minnesota State employee health insurance and retirement programs.

Additional Requirements

In accordance with the Minnesota State Vehicle Fleet Safety Program, employees driving on college/university business who use a rental or state vehicle shall be required to conform to Minnesota State's vehicle use criteria and consent to a Motor Vehicle Records check.
