The NCTopps Assistant completes NCTOPPs monthly/quarterly monitoring and reporting of provider utilization and compliance.

Responsibilities & Duties

Assist with Monthly Quality Assurance Process

  • Assist Clinical Service Evaluator I and Business Analysts with validating member CNDS IDs and consumer record numbers in NCTOPPs database
  • Notify providers when corrections are needed and submit monthly reports to NCTOPPs Help Desk

Assist with Monthly Audit of Initial Interviews

  • Assist Clinical Service Evaluator I and Power Analyst with ensuring providers are entering NCTOPPs initial interviews for all service lines as required
  • Send provider letter of findings per member & service and total percentage that meets initial entry timeline If no initial NCTOPPS interview is submitted
  • Maintain spreadsheet of provider performance for all providers

Review quarterly Provider Agency Update Compliance Report

  • Review Alliance provider in NCTOPPs on a quarterly basis to ensure they are actively contracted with Alliance
  • Notify NCTOPPS Help Desk of providers no longer contracted with Alliance

Assist with adhoc Reports

  • Assist Clinical Service Evaluator I and Power Analyst with completing adhoc NCTOPPS data reports from Division of Mental Health or other stakeholders

Provide Front Desk Support

  • Answer telephones, direct calls, and take messages
  • Greet, welcome, and assist visitors appropriately
  • Notify staff of visitor arrival
  • Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail
  • Manage deliveries received to the office
  • Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, and address complaints

Minimum Requirements

Education & Experience

High school diploma/GED and three (3) years of experience in an administrative support role in healthcare, including experience with entering data and compiling and processing information.

or

Bachelor’s degree from an accredited College or University and two years of experience in an administrative support role in healthcare, including experience with entering data and compiling and processing information

Knowledge, Skills, & Abilities

  • Knowledge of database maintenance
  • Knowledge of and experience with records, reports and file maintenance.
  • Proficient with Microsoft Office suite
  • Excel Skills-Intermediate level
  • Proficient with grammar, spelling, punctuation and vocabulary
  • Skilled at organizing work to meet schedules and timelines
  • Ability to communicate effectively both in oral and written form
  • Ability to understand and follow oral and written directions
  • Ability to exercise tact and discretion in working with confidential or sensitive information
  • Ability to establish and maintain effective working relationships with others
  • Ability to analyze situations accurately and adopt an effective course of action
  • Knowledge of NCTOPPS system preferred

Salary Range

$17.32 to $29.82/Hourly
