GENERAL SUMMARY/BASIC PURPOSE OF JOB:
The Manager will be primarily responsible for direct onsite management of the daily operations of the facility operations and provide administrative leadership, data analytics as well as regulatory readiness in all functional operational areas at Mt. Sinai Hospital, Holy Cross Hospital, Schwab Rehabilitation Hospital or any off-site locations. The System Manager partners with the service line, vendor, operations and clinical leadership in development of the productivity goals and monitoring of KPIs as well as engage with leaders related to service promotion and new procedures, clinics and provider needs. The System Manager promotes excellence in the areas of service operations and serves as the lead for access, quality metrics, productivity, budget development and management, resource allocation and capital planning. The system manager will focus on the services across sites to optimize the patient experience, quality and safety, coordination of resources across locations, utilize technology and solutions including EMR, metric reporting, customer service, billing and related revenue cycle services as appropriate.

ESSENTIAL FUNCTIONS AND DUTIES
- Supervision, coaching and mentoring of a multi-disciplinary team of 20+ in collaboration with Vice President. Collaboration with clinic teams across multiple locations to enhance service line productivity. Ensure proper service line related training and competency of all staff. Work with providers, IT and coding to develop best practices and workflow standardization across locations. Provide direction to manager and staff in carrying out responsibilities. Interpret and ensure compliance with laws, system policies, operational procedures and objectives. Regularly review program operations for effectiveness.
- Operate as the leader in collaboration with the Vendor/ department leader to implement initiatives, operational standardization, and access to care across locations. Address provider needs and concerns as needed in relation to service line operations.
- Continual monitoring of operations including but not limited to: growth, staffing, capital needs and resources, training, competencies, access to care, quality and safety and financial performance. In collaboration with manager to facilitate process to improve systems for timely and accurate information on customers, products, treatment patters, prices and quality. Accountable for the utilization of fiscal resources within budgetary parameters. Work on a variety of operational improvement project and initiatives.
- Lead, manage and provide follow up on the weekly regulatory and compliance rounds across Holy Cross, Mount Sinai and Schwab Rehabilitation Hospitals.
- Ensure budgets, billing and collections are optimized in collaboration with the manager of department. Regularly monitor budgets and invoicing, contracts and forecast productivity. Utilize programs to monitor financial health regularly. Review vendor agreements, suppliers and relationships in collaboration with supply chain, manager and service line leaders.
- In collaboration with the managers, hire, train and ensure adequate and appropriate staffing. Monitor operations to ensure service line success. Develop workflows and best practices in relation to the service line. Add new services, procedures, providers and processes as needed. Ensure standardization of practices across locations.
- Maintain vendor relationships and lead strategic initiatives under the direction of the leadership and in collaboration with the manager. Lead implementation of new processes, procedures and programs as needed.
- In collaboration with marketing and development represent the operations teams as needed. Help with development of marketing materials representing the service line as well as opportunities to market services.
- Establish, identify and ensure systems and service standards that promote patient safety and safe practices for delivering patient care. Responsible for overall quality provided by established services and for following the highest standards.
- Collaborate with revenue cycle, scheduling and billing departments to ensure billing, coding, prior authorizations, referrals and denials are managed effectively.
- Perform other duties as assigned.
JOB REQUIREMENTS:
MINIMUM EDUCATION:
- Master’s degree Preferred; Bachelor’s Degree Required
MINIMUM WORK EXPERIENCE:
- 6 or more years of experience in a supervisory role within a clinical setting required
- Previous physician management experience required
- Financial management, operations management and electronic medical record experience required
- Ambulatory practice management experience preferred
- Experience with service line specialty practice management a plus. Experience with complex specialty practices including procedures, inpatient and outpatient activity preferred.
