Job Summary


The Health Information Management Services (HIMS) Department works within a team to deliver quality medical record management outcomes. As the heartbeat of any healthcare facility; the individuals within this department bridge roles, connecting clinical, operational, and administrative functions to all clientele. These professionals affect the quality of patient information at every touch point within the programs while maintaining the highest standards of data integrity, confidentiality, and information security. The HIMS Administrative Specialist is responsible for HIM operational functions supporting the completeness, integrity, and privacy of medical record documentation with a high degree of accuracy and attention to detail.

Primary Responsibilities Include:

  • Maintaining accurate medical records in accordance with applicable standards and requirements
  • Responding to requests for information requested by external entities including law enforcement agencies
  • Reviewing authorizations for the release of information requests to ensure that patient information is protected, and responses are timely, accurate and compliant
  • Perform HIMS related work as needed and required so medical records, admissions, and other necessary functions are carried out efficiently and effectively
  • Managing the facilities patient reporting process to maintain accurate patient census records
  • Assist in providing continuity and operational effectiveness of Document Management System by scanning patient records, reports, court orders

Qualifications

Minimum Qualifications

  • Specialized Terminology including medical terminology or coding; document management; scanning, indexing and quality control
  • Customer Service skills sufficient to communicate information to clients, including phone calls and walk-in contacts in helpful and courteous manner
  • Data Entry skills sufficient to create database records and update entries or create and apply the basics of spreadsheets and supply/retrieve information in databases
  • Math skills sufficient to add, subtract, divide, and calculate averages
  • Physical Demands of this position include standing, sitting, pulling, stooping; ability to lift and move paper and batched documents of up to 20 pounds; ability to move arms on a continual basis sufficient to open mail, sort and file documents
  • Spreadsheet Skills sufficient to develop and modify basic spreadsheets, and sort and extract data
  • Typing/Keyboarding skills sufficient to complete a variety of reports, letters, forms, and data summaries
  • Word processing skills sufficient to develop and modify a variety of correspondence, records, and reports; develop forms and charts

Preferred Qualifications

  • Experience within the records management field, medical terminology or electronic medical records
  • Experience with data systems such as FileNet, Phoenix, Electronic Document Management System (EDMS) and Avatar
  • Preparing, maintaining and compiling reports regarding health information
  • Following data privacy / confidentiality guidelines such as state statutes and regulations regarding data privacy, security and HIPAA

DHS operates a highly specialized behavioral health care system that serves people with mental illness, substance abuse disorders, and developmental and intellectual disabilities.
