Front Office Coordinator

We are a busy Oral Surgery & Sedation Dentistry office in Hanahan, SC! We are in search of a new Front Office Coordinator to join us!
As a Front Office Coordinator, you will be responsible for providing administrative support to ensure the efficient operation of the dental office. You will support doctors, staff, and patients through a variety of tasks related to patient care management, organization, and communication. The goal is to complete all activities accurately, with high quality and in a timely manner.
Hours: Monday - Friday 8AM-5PM.
Role and responsibilities:
- Organize and schedule appointments. Monitor schedule to ensure patients are in appropriate time slots.
- Produce and distribute correspondence memos, letters, faxes and forms.
- Ensure all sedation consents and treatment plans are reviewed in detail with parents, signed properly, and put in the patients chart.
- Handle receivable and payable accounts and keep financial records
- Prepare and clean treatment rooms and medical instruments.
- Prepare and clean consultation rooms.
- Move patients as necessary to keep schedule on the correct template. Changes should be made at least the day prior. (No gaps in scheduled appointments)
- Present treatment plans/fees. (Make sure copy of treatment plan goes in patient chart)
- Fax & follow up medical clearance request for clinic.
- Fax & assist with following up with Health and Physical forms.
- Manage the department voicemail email box.
- Inventory and orders for office supplies for admin area & prizes ordering.
- Collecting co-pays. Deposit cash weekly.
- Creating treatment estimates and appointments for multiple doctors.
- Able to make alterations to treatment plans, change co-pays/amount due based on changes in procedures.
- Answering phones.
- Running reports on production and collections.
- Assisting sending statements, answer questions about billing.
- Various admin tasks to keep the office flowing.
- Send information as requested by insurance companies such as x-rays, charting, narratives, and other documentation for processing the claim when applicable.
- Provide insurance predetermination documentation to patients and make financial arrangements.
- Submit pre-determinations to insurances as needed.
- Record all financial discussions with patients in their file.
- Communicate with referring dental/medical offices.
- Sterilizing instruments
- Keep record of sterilization/compliance log
- Insurance/billing point of contact for the office for departments other than the Oral Surgery department.
- Ensure admin areas stay stocked with all needed items.
Skills:
- Excellent time management skills and ability to multi-task and prioritize work
- Social perceptiveness and service oriented
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficiency in MS Office and patient management software
- knowledge of dental insurance and procedure codes
