JOB VACANCY

POSITION: Family Court Coordinator

DEPARTMENT: Prothonotary’s Office

SALARY: $15.34/hr. Pay Grade 12 (SEIU Bargaining Unit)

Non-Exempt

HOURS: 8:30 AM – 4:30 PM Monday thru Friday

(1-hour unpaid lunch)

BENEFITS: Full County Benefits after 90-day probation period

OVERALL OBJECTIVE OF JOB:

To process all Family Division pleadings as well as all other civil complaints/pleadings within the Prothonotary’s Office.

ESSENTIAL FUNCTIONS OF JOB:

1. Reviews and processes divorce complaints, all custody complaints, (new, modification and relocation), and civil complaints.

2. Reviews and processes orders with hearing dates and perfects notification of such.

3. Opens new cases and enters complete data information into the system.

4. Reviews and processes praecipes for judgments, mechanic’s liens filing, default

Judgments and judgments on fines.

5. Monitors Family Court Division activities daily.

6. Prepares bank deposits in the absence of the Prothonotary and First Deputy.

7. Processes e-mail inquiries from attorneys and law firms.

8. Greets visitors and answers their questions as they pertain to the department.

OTHER DUTIES OF JOB:

1. Utilizes computer, telephone and other office equipment as needed to perform essential job functions.

2. Attend meetings in the absence of the Prothonotary and First Deputy.

3. Maintains confidentiality of department affairs.

4. Acts in the absence of the Prothonotary and First Deputy to carry out the duties

of the Prothonotary.

5. Performs other job-related duties as required.

SUPERVISION RECEIVED:

Receives occasional instruction from Prothonotary and First Deputy with regard to daily work duties.

SUPERVISION GIVEN:

Reviews the work performed by the Administrative Assistant and assists with the training of new personnel.

WORKING CONDITIONS:

1. Works indoors in adequate office space, lighting, ventilation and temperatures.

2. Normal exposure to noise and stress, but subject to frequent disruptions.

3. Normal exposure to indoor dust/dirt.

PHYSICAL/MENTAL CONDITIONS:

1. Must possess ability to record, convey and present information, explain procedures

and follow instructions.

2. Must be able to sit for long periods throughout the workday, with intermittent

periods of standing and walking and occasional twisting, bending, stooping, reaching as necessary to carry out job duties.

3. Dexterity requirements range from coordinated movements of fingers/hands for

typing and computer, to simple dexterity of feet/legs; torso as necessary to carry out job duties.

4. Sedentary work, with occasional lifting/carrying of objects with a maximum

weight of ten pounds.

5. Must be able to pay close attention to detail and to concentrate on work.

QUALIFICATIONS:

A. EDUCATION/TRAINING

High school diploma or Associates Degree in Business. Computer training required including Microsoft Office and point of sale application.

B. WORK EXPERIENCE

Minimum of 1-2 years of business experience of progressively responsible nature; preferably in a court/legal environment or any equivalent combination of experience and/or training.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

1. Must possess a thorough knowledge of business English, spelling and arithmetic.

2. Must possess good communication and interpersonal skills.

3. Must possess ability to function independently, have flexibility and the ability to work effectively with co-workers and the general public.

4. Must possess ability to maintain confidentiality in regard to County information and records.

5. Must possess thorough knowledge of word processing and financial software, such as Quicken, Power Point and Excel utilizing modern office practices, procedures and equipment.

6. Must possess the technical knowledge of operating personal computers and other office equipment with accuracy and reasonable speed.

7. Must possess knowledge of modern office practices and procedures and the ability to perform same in an efficient manner.

8. Must possess the ability to exercise independent judgement and resolve problems and the ability to exhibit individual initiative in carrying out assigned projects.

9. Must possess the ability to compose a variety of correspondence, memoranda and reports with limited instruction.

10. Must possess ability to meet and interact effectively with co-workers and general public, and to respond accurately to routine questions/inquiries regarding department, operations and procedures.

11. Must possess the knowledge and ability to locate necessary records in Courthouse Departments.

12. Must possess the ability to maintain a variety of records and prepare complete and accurate reports.
