Executive Assistant to Senior Vice President of UC TFC
Job description
JOB OBJECTIVE:
Earn $58,000 annually, plus 120 hours paid vacation, 12 paid sick days and 10 paid holidays. We offer medical packages and a 401K.
Under the direction of the Senior Vice President of UC TFC, this position will maintain a positive and collaborative attitude; provide administrative support to the departments reporting to the Vice President of UC TFC. Responsibilities include gathering and tracking data and compiling reports, conducting research, preparing meeting agendas and minutes, maintaining files, and issuing correspondence. The position requires involvement with sensitive information necessitating considerable use of tact, diplomacy, discretion and judgment.
FUNCTIONS:
- Provide administrative support to the Senior Vice President of UC TFC
- Project a professional, friendly and helpful presence
- Coordinate his/her calendar, scheduling meetings and adjust
- Provide clerical support using Microsoft Office including Word, Excel, PowerPoint, and Outlook applications
- Format documents
- Assist with organizational and clerical duties as assigned
- Utilize a variety of sources to conduct research for various projects
- Prepare meeting agendas and minutes
- Some travel required
- Provide personal assistance
- Audit UC Files
- Be knowledgeable of ORR Policy and Procedures
- Write/edit policy and procedures
- Perform other duties as requested by leadership
Experience and Skills:
- Bilingual English-Spanish required.
- Bachelor’s degree preferred. Associates degree required
- Experience working in a busy human services office- strongly preferred
- Strong communication and organizational skills and ability to handle numerous tasks - required
- Strong skills in Microsoft Office including Word, Excel, PowerPoint, and Gmail applications
- Knowledge of clerical and office procedures
- Ability to handle confidential material in a responsible manner
- Ability to work effectively in a team context
- Demonstrated ability to perform duties with minimal supervision and to exercise greater judgment
- NYS Driver’s License required
- Ability to travel to other agency locations
PHYSICAL REQUIREMENTS:
- Word processing: Including responding to e-mails, composing letters, completing computerized documentation, transcribing minutes for meetings, etc.: This involves sitting at a computer for several hours a day
- Completing paperwork -Such as copying, stapling as needed
- Must be able to lift up to 50 pounds
- Sit/ride in vehicles, busses, subways, trains, plains - public transportation for lengthy periods of time
- Walk up/down stairs as needed
- Walk to enter/exit subway and other public transportation as needed
- Walk several blocks to get to required location
HOURS PER WEEK: Non-Exempt
- Regular hours entail 9:00am - 5:00pm, Monday - Friday. Must be flexible to meet program needs.
