We are looking for an Executive Assistant to support our CEO & CMO who will also assist with Office Manager duties to help manage and grow our dynamic New York office.

To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.


Requirements:
  • 2 years working experience as an EA to C level executives in a high-tech company.
  • Excellent project management skills interacting with senior executives.
  • Superb communication skills.
  • Ability to work independently and set priorities.
  • Ability to work under pressure in a high-paced environment.
  • High level of commitment, professionalism, and confidentiality.
  • Full knowledge of MS Office (MS Word, Excel, PowerPoint, Outlook) and internet tools.
  • Proof of eligibility to work in the US will be required.

Responsibilities:

Responsibilities as EA:

  • Manage, coordinate, and maintain CEO & CMO calendars, schedules, including travel.
  • Provide administrative support to the CEO & CMO including drafting and circulating meeting agendas, preparing minutes, communicating meeting reminders, confirming venues and writing and distributing minutes and action items post meeting.
  • Organize CEO & CMO travel and logistics including flights, visa requirements, hotel accommodation, car rental, meeting schedules while traveling and tracking expenses.

Office Manager Responsibilities:

  • Communication with service providers.
  • NY staff coordination of travel arrangements and follow up on travel expenses.
  • Work closely with the HQ in Israel, support welfare and HR activities.
  • Manage and maintain the office environment.
  • Manage applicable Office budget lines, including office expenses, supplies, stationery, entertainment, handling invoices and petty cash.
