Reporting directly to the Vice Provost for Internationalization & Equity (Vice Provost/IE), the Executive Assistant works independently performing a wide range of complex and confidential administrative and clerical support duties. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts. Requires knowledge of the College, Academic Affairs and IE departmental policies and procedures. This position also supports IE's Equity Initiatives Team and the Office of Education Abroad & Domestic Programs. This is a great opportunity to establish working relationships with senior level executives of the College and contribute to the overall efficiency of the Office of Internationalization & Equity.
ESSENTIAL JOB DUTIES
- Provides wide range of complex office administration and support with the greatest confidentiality, maintain accurate and current contact reports for the Vice Provost/IE
- Manages the Vice Provost/IE's complex calendar, arranges meetings/appointments and travel arrangements, and prioritizes the most sensitive and urgent matters
- Serves as principal administrative contact and liaison with all IE constituents and external contacts, typically including institutional partners overseas, education abroad service providers, Kasteel Well, ELA, Deans' Council, Academic Cabinet, President's Cabinet, faculty, staff, students, alumni, and donors
- Develops, implements, and administers IE office systems and procedures. With the Vice Provost/IE, establishes IE office procedures, policies, and operations. Interprets and communicates policies and processes
- Performs budgeting duties for IE, including tracking expenditures and processing purchase orders/requisitions and creating reports. May prepare spreadsheets for budgets, grants, or contracts, including tracking and maintaining expenditures and reconciling accounts. With the Vice Provost/IE prepares financial reports using on-line financial systems. May serve as approver for financial transactions representing the department and arrange payment of invoices
- Serves as the primary intake person for the IE office, welcoming visitors to the office, assessing the purpose of their visit and directing them to the appropriate IE department. Monitors follow up action steps on correspondence on behalf of the Vice Provost/IE and may handle wide-range information dissemination
- Hire and supervise student workers. Coordinates the training, scheduling, and distribution of work for student workers and/or temporary staff
- Assist with student application processing, process student program deposits and payments
- Provides wide ranges of support including taking minutes, correspondence, composing and editing letters, memoranda, reports, and presentations. Some evening and weekend work may be required
- Uses multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other technical applications
- Assist with the planning of IE anchor events, including the annual Teach-In on Race, International Education Week, and Education Abroad Fair, among others
- Purchases and maintains inventory of supplies for office
- Creates and maintains filing system(s)
- Other duties as assigned
QUALIFICATIONS - Qualifications are deemed required or preferred and represent what is needed to effectively perform job.
- A college degree strongly preferred, or an equivalent of education plus experience in an office environment
- Five plus years related experience with proven office administration and customer service skills required
- International experience either living, working, or studying abroad
KNOWLEDGE, SKILLS, AND ABILITIES - May be representative, but not all-inclusive, of those knowledge, skills, and abilities commonly associated with the job.
- Solid working knowledge of office processes and standard business policies
- Excellent organizational, writing and computer skills
- Proficiency with office productivity tools and a demonstrated aptitude for learning new software and systems
- Ability to maintain confidentiality of information related to the College, its employees, and students
- Good interpersonal skills and sensitivity to different cultures
- Experience providing complex administrative support in a fast-paced office environment with tact and diplomacy
- Ability to problem solve and make decisions
- Experience managing a budget and meeting multiple deadlines required
- Ability to work across teams and with a variety of projects and constituencies
- The ability to multi-task and a positive attitude is a must

COMPENSATION
Starting salary for this position will be between $54,274 - $66,486 annually, commensurate with experience.
Grade of Position: 23-07E
Scheduled Weekly Hours: 36.25
This position will be exclusively represented by the Service Employees International Union (SEIU), Local 888 for purposes of wages, hours and other terms and conditions of employment.
